Executive Assistant/personal Assistant

The Executive Assistant is responsible for ensuring everything is well-prepared, managing communications, and assisting in operational planning.
**Responsibilities**:
**1.Calendar and Schedule Management**:
- Organize and maintain the calendar, scheduling meetings, appointments, and travel arrangements.
- Ensure the senior management is well-informed and prepared for upcoming commitments.
**2.Meeting Coordination**:
- Prepare agendas, materials, and presentations for meetings.
- Attend meetings, take notes, and follow up on action items.
- Coordinate with stakeholders to schedule meetings and arrange logistics.
**3.Relationship Management**:
- Build and maintain strong relationships with key stakeholders, including board members, executives, clients, and partners.
- Act as a liaison between the senior management and internal/external parties.
**4.Operational Support**:
- Assist in developing and implementing operational strategies, policies, and procedures.
- Collaborate with departments to streamline operations and improve efficiency.
**5.Vendor Management**:
- Manage relationships with external vendors, suppliers, and service providers.
- Negotiate contracts and ensure timely delivery of goods and services.
- Negotiate pricing, delivery terms, and contractual agreements with suppliers to achieve favorable terms and cost savings.
**6.Policy Development**:
- Contribute to the development and implementation of organizational policies and procedures.
- Ensure compliance with regulations and industry standards.
**7.Decision Support**:
- Provide research, analysis, and recommendations to assist the senior management in making informed decisions.
- Conduct market research and feasibility studies for new projects.
**8.Communication and Correspondence**:
- Handle incoming and outgoing communications.
- Prioritize and respond to inquiries or delegate them to the appropriate individuals.
**; Requirements**:
- Bachelor's degree in business administration or a related field is preferred.
- At least 4 years of related experience required. Proven experience as a Personal Assistant or Executive Assistant.
- Excellent negotiation and vendor management skills.
- Strong organizational and multitasking skills.
- Excellent communication and relationship-building abilities.
- Strong command of spoken and written English and Mandarin at a business level.
- Ability to handle sensitive information with confidentiality.
- Strong problem-solving and decision-making skills.
