Project Administrator

**Job Purpose**:
To provide administrative support to the Project team in managing documentation, coordinating site-related activities, assisting with quality assurance processes, and handling purchase order (PO) preparation. This role ensures smooth store development operations, accurate records, and timely execution aligned with Luckin Coffee Malaysia’s standards.
**Key Responsibilities**:
- Maintain and update project schedules, timelines, and store rollout trackers.
- Organize and file project documentation including contracts, drawings, and vendor records.
- Prepare and submit weekly progress reports to the Project Manager.
- Assist in coordinating on-site QA checks during and post-fit-out.
- Document defect lists (snagging/punch lists) and track contractor rectification.
- Ensure store handover follows brand quality, safety, and compliance standards.
- Liaise with contractors and QA team for corrective actions and re-inspections.
- Prepare and submit POs for project-related purchases (e.g. fixtures, equipment, fit-out materials).
- Ensure all required documentation and approvals are in place before PO issuance.
- Track delivery and invoicing status for ordered items.
- Coordinate with Finance and Procurement for PO closures and payments.
- Coordinate with mall management, contractors, and vendors for store fit-out scheduling.
- Schedule site visits, inspections, and handover appointments as required.
**Requirements**:
- Diploma or Degree in Business Administration, Project Management, Interior Design, or related field.
- Minimum 1-2 years of working experience in administrative/project coordination, preferably in retail, construction, or F&B.
- Basic understanding of Quality Assurance, fit-out processes, or construction terminology is an advantage.
- Familiar with PO systems, documentation handling, and vendor coordination.
- Proficient in Microsoft Office (Excel, Word, PowerPoint); knowledge of project tracking tools is a plus.
- Highly organized, detail-oriented, and capable of multitasking.
- Good interpersonal and communication skills.
- Willingness to travel to store sites when necessary.
Pay: RM2,000.00 - RM4,000.00 per month
