General Operational Admin

**1. Operational Reporting & Metrics Tracking**
- Maintain and update the **Master Outlet List** (store type, region, managers, bank info, contacts)
- Generate **sales reports** (daily, weekly, monthly) and compare actual vs forecast sales performance
- Monitor and report on **stock movement**, usage variances, and suspicious trends
- Compile and verify **Daily &** **End-of-Day (EOD) Reports**, including voids, refunds, and unusual activity
- Track and reconcile **daily bank-ins and cash float usage** with outlet-level records
- Support the consolidation of key performance dashboards for senior management
**2. Internal Communication & Scheduling**
- Act as a **liaison between HQ and ground teams**, ensuring smooth flow of updates and feedback
- Draft and issue internal **HQ memos**, announcements, SOP updates, forms and reminders
- Coordinate and schedule:
- **Operation and training meetings**:
- **Induction, refresher, and upskilling training sessions**:
- **Cross-department briefings** involving Operations, HR, and Finance, Supply Chain
- Ensure all training schedules are communicated and tracked with attendance records
**3. Outlet Staff Scheduling & Attendance Reconciliation**
- Collect and monitor **staff rosters and daily attendance records** from outlets via HR systems
- Reconcile **attendance vs approved OT claims**, highlight discrepancies to HR and Payroll and Operation
- Submit accurate and verified attendance data for monthly payroll processing
- Work with HR system provider to maintain / reconcile attendance, leave and OT matters
**4. Customer Service Reporting & Resolution**
- Consolidate customer feedback from all channels (WhatsApp, mail, social media, Google Reviews, and store report)
- Maintain a central **Customer Service Issue Log** tracking issue, store, status, and resolution
- Follow up with Operation, Joint-Venture partners or Franchisees to ensure timely resolution
- Identify and escalate repeat or critical customer experience issues
**5. CCTV Monitoring & QC Compliance**
- Conduct scheduled and incident-based **CCTV monitoring** to verify:
- SOP and hygiene compliance
- Cash handling procedures and staff conduct
- Incident or misconduct investigations
- Document and report observations with relevant footage and images
- Coordinate follow-up actions with HQ Operation or Training Executive
**6. System Support & Maintenance**
- Provide **first-level troubleshooting** for POS, payment terminals, HR systems, and outlet devices
- Coordinate with IT or vendors for unresolved system issues
- Maintain and manage user credentials, POS updates, and outlet access rights
- Track and document issue logs for continuous system improvement
Pay: RM2,500.00 - RM3,000.00 per month
