Event Coordinator

The Event Coordinator for our F&B Hospitality Group plays a pivotal role in planning, organizing, and executing a wide range of events hosted by our establishments. This role is responsible for ensuring seamless coordination of all aspects of event management, from initial client inquiry to post-event evaluation. The Event Coordinator will work closely with clients, vendors, and internal teams to deliver exceptional experiences that align with our brand standards and exceed guest expectations.
**Key Responsibilities**:
- Event Planning and Execution: Collaborate with clients to understand their event requirements, including budget, theme, and preferences. Plan and execute events, such as corporate gatherings, weddings, private parties, and promotional events, ensuring all aspects are coordinated effectively.
- Venue Selection and Management: Identify suitable venues within our hospitality group for events based on client needs and preferences. Coordinate with venue managers to secure bookings, arrange setup, catering, and other logístical requirements.
- Menu Planning and Catering Coordination: Work with culinary teams to create customized menus tailored to event themes and dietary preferences. Coordinate catering services, including menu selection, tastings, and ensuring timely delivery and presentation of food and beverages.
- Vendor Management: Source and manage relationships with external vendors, including florists, decorators, entertainment providers, and rental companies. Negotiate contracts, obtain quotes, and oversee vendor performance to ensure quality and adherence to budget.
- Budget Management: Develop event budgets and monitor expenses throughout the planning process. Identify cost-saving opportunities and manage expenditures within approved budget constraints.
- Guest Experience Management: Ensure a seamless guest experience from arrival to departure, including registration, seating arrangements, and any special requests. Address guest inquiries and concerns promptly to ensure guest satisfaction.
- On-Site Coordination: Oversee all on-site logistics during events, including setup, vendor coordination, timeline management, and troubleshooting any issues that may arise. Act as the primary point of contact for clients and vendors during events.
- Post-Event Evaluation: Conduct post-event evaluations to assess event success and gather feedback from clients, guests, and stakeholders. Identify areas for improvement and implement changes for future events.
- Administrative Tasks: Maintain accurate records of event details, including contracts, invoices, and correspondence. Generate reports as needed and assist with administrative tasks related to event coordination.
**Skills and Qualifications**:
- Bachelor’s degree in Hospitality Management, Event Planning, Marketing, or related field.
- Proven experience in event coordination within the hospitality industry, preferably in F&B establishments.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal abilities, with a customer-centric approach.
- Ability to work well under pressure in a fast-paced environment.
- Proficiency in event management software and Microsoft Office Suite.
- Knowledge of food and beverage operations and catering services.
- Creative problem-solving skills and a proactive attitude towards challenges.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
- Team player with the ability to collaborate effectively with cross-functional teams.
Pay: RM2,500.00 - RM3,000.00 per month
