**Job Summary**
To support the HR department in maintaining a stable and harmonious working environment by handling employee and industrial relations (ER/IR) matters in accordance with Malaysian labour laws. This role also ensures alignment with Japanese corporate culture, values, and standards. Key responsibilities include internal communication, discipline management, compliance, and employee engagement initiatives at the factory level.
**Key Responsibilities1. Employee Relations (ER)**
- Serve as the main point of contact for all employee concerns and workplace conflicts at the factory.
- Conduct regular engagement sessions with employees and supervisors to foster positive morale and identify issues early.
- Monitor trends in absenteeism, punctuality, and employee behavior; propose and implement preventive measures.
- Facilitate onboarding sessions on company rules, code of conduct, grievance procedures, and discipline policies.
- Conduct exit interviews for operators and production staff; analyze attrition trends and recommend action plans.
**2. Industrial Relations (IR)**
- Manage disciplinary processes including issuing show-cause letters, conducting counselling, investigations, and domestic inquiries in compliance with Malaysian labour laws and internal procedures.
- Ensure fairness and timeliness in disciplinary actions, strictly following the Employment Act and Industrial Relations regulations.
- Maintain updated records of IR cases including warning letters, counselling sessions, and outcomes to ensure consistency.
- Support and coordinate Management-Staff Meetings, including grievance handling and communication activities.
- Represent the company in meetings with the labour office or during industrial court proceedings when required.
**3. Compliance & Process Control**
- Ensure full compliance with the Malaysian Employment Act, Industrial Relations Act, and relevant legal requirements.
- Assist in preparing documentation for internal and external audits (e.g., audits by Japanese HQ, customer audits, ISO, or labour inspections).
- Periodically review and update company rules, HR policies, and disciplinary procedures to align with local laws and Japanese standards.
- Assist in maintaining and updating the employee handbook, workplace rules, and ER/IR SOPs specific to manufacturing operations.
**4. Cross-Cultural Communication**
- Facilitate smooth communication between Japanese expatriate management and local employees.
- Provide guidance on Malaysian labour practices, cultural expectations, and local HR protocols to Japanese management.
**5. Other Responsibilities**
- Perform other tasks and assignments as directed by the superior from time to time.
**Job Requirements**
- Bachelor’s Degree in Human Resources, Business Administration, Industrial Relations, Law, or related field.
- 2-4 years of relevant experience in ER/IR, preferably in a manufacturing environment.
- Experience working with Japanese companies or expatriates is an added advantage.
- Strong knowledge of Malaysian labour laws, IR practices, and procedures from the Department of Labour.
- Familiarity with factory-based HR operations and blue-collar workforce management.
- Excellent interpersonal, communication, and conflict-resolution skills.
- High integrity, professionalism, and discretion in handling sensitive matters.
- Well-organized and able to work diplomatically.
- Proficiency in **English and Malay** is required; knowledge of **Japanese** is an added advantage.
Pay: RM3,000.00 - RM5,000.00 per month
