Job Description: Administrative Assistant

**Position**: Administrative Assistant
**Location**: Desa Cemerlang, Ulu Tiram

Key Responsibilities:
**Data Entry for Sales Orders**:

- Accurately input sales orders into the AutoCount system in a timely manner.
- Ensure all data entered aligns with the received documents.

**Processing Delivery Orders (DO)**:

- Prepare and process delivery orders using AutoCount based on received sales orders.
- Coordinate with the shipping department to ensure timely delivery of goods.

**Sales Invoice Preparation**:

- Generate sales invoices using AutoCount, ensuring all details are correct and match the sales orders and delivery orders.

**Communication with Agents for Invoice Declaration**:

- Liaise with agents for invoice declaration and ensure compliance with relevant regulations.
- Use AutoCount to prepare necessary documents and information for the declaration process.

**Managing Shipments to Singapore**:

- Organize and monitor shipments to Singapore, coordinating with shipping and agent parties using AutoCount.
- Ensure all required international shipping documents are prepared and compliant with regulations.

**Qualifications**:

- Minimum educational qualification of SPM or equivalent; a diploma in office administration or a related field is an advantage.
- Prior experience as an administrative assistant or in a similar role is preferred.
- Strong communication skills, both verbal and written.
- High level of organizational skills and attention to detail.
- Ability to work independently as well as in a team.

**Proficiency in AutoCount System**:

- Experience and proficiency in using AutoCount for processing sales orders, invoices, and delivery orders.
- Ability to generate financial and operational reports using AutoCount.
- In-depth understanding of inventory management and financial transactions using AutoCount.
- Knowledge of international shipping procedures and export documentation is an added advantage.

**Skills**:

- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong multitasking and time management abilities.
- Adaptability and problem-solving skills.

**Job Types**: Full-time, Permanent

Pay: RM1,700.00 - RM2,000.00 per month
