Position Title: Operations Manager

Location: Petaling Jaya , Malaysia

Salary Range: RM 5,000 – RM 6,000

Position Overview

We are looking for a highly organized and proactive Operations Manager to oversee the daily operations of our Kuala Lumpur office. This role plays a key part in ensuring the smooth running of office functions, resource management, cross-department coordination, and operational efficiency. The ideal candidate is detail-oriented, solution-driven, and thrives in a dynamic, fast-paced environment.

Key Responsibilities

  1. Office Setup & Maintenance

  2. Oversee the setup and ongoing maintenance of the Kuala Lumpur office.

  3. Coordinate with vendors and service providers to ensure a well-functioning workspace.

  4. Daily Operations Management

  5. Manage daily office activities and ensure seamless coordination across departments.

  6. Oversee resource allocation, supplies, and equipment management to support team needs.
  7. Handle logistics for product shipments, staff travel, and other operational requirements.
  8. Liaise with technical teams for IT and equipment maintenance.
  9. Process and verify invoices, billing, and other operational financial transactions.
  10. Identify and resolve operational issues promptly to maintain efficiency.

  11. Team Management

  12. Hire, train, and supervise backend and administrative staff.

  13. Ensure sufficient manpower and support for smooth daily operations.

  14. Stock & Inventory Management

  15. Monitor stock levels and coordinate with warehouse personnel to ensure accuracy and availability.

  16. Digitalization & Process Improvement

  17. Implement and manage digital systems to streamline workflows and improve transparency.

  18. Develop operational dashboards and performance tracking tools.

  19. Communication & Coordination

  20. Facilitate clear and effective communication between sales, marketing, logistics, warehouse, design, and technical teams.

  21. Ensure consistent information flow and alignment across all departments.

  22. Event Support

  23. Assist in the planning and execution of company events, handling logistics and coordination with stakeholders.

  24. Budget & Compliance

  25. Monitor operational budgets and ensure expenses align with company financial goals.

  26. Ensure all operations comply with internal policies, industry standards, and local regulations.

  27. Reporting & Meetings

  28. Organize and lead weekly operational meetings.

  29. Provide updates on performance, challenges, and continuous improvement plans.

Qualifications

  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • Minimum 3–5 years of experience in operations or office management.
  • Strong organizational, leadership, and problem-solving skills.
  • Proficiency in Microsoft Office Suite and digital workflow tools (e.g., Google Workspace, Notion, Trello, or similar).
  • Excellent interpersonal and communication skills.
  • Self-motivated, adaptable, and able to manage multiple priorities efficiently.

Compensation & Benefits

Salary: RM 5,000 – RM 6,000 (commensurate with experience and qualifications)
