General Administration Executive

Join our dynamic and growing organization in the railway and trading industry. We are seeking a detail-oriented, organized, and bilingual (Mandarin-speaking) professional to manage our daily administrative operations. The successful candidate will play a vital role in ensuring smooth office management, supporting cross-departmental communication and maintaining compliance in administrative processes.
Key Responsibilities
- Oversee general office operations including documentation, filing systems and record management
- Coordinate procurement of office supplies, equipment maintenance and vendor relationships
- Communicate effectively with suppliers, government agencies and service providers
- Prepare, translate and manage correspondence and reports in Mandarin, English and Bahasa Malaysia
- Support HR and Finance teams in handling attendance, staff documentation and reimbursement. Any experience in HR or Legal would be advantage
- Organize meetings, travel arrangements and schedules for management
- Safeguard confidential company and employee information
- Provide administrative assistance for railway project coordination and trading operation
- Perform other duties as assigned by the management team
Job Requirements
- Education : Bachelor's Degree in Business Administration, Management or a related discipline from a reputable University
- Experience : Minimum 1 year of relevant working experience in administrative or operational support roles
- Language Proficiency : Excellent command of Mandarin, English and Bahasa Malaysia (spoken and written)
- Technical Skills : Proficient in Microsoft Office (Word, Excel, PowerPoint). Knowledge of HR, IT or finance administrative workflows is an advantage
- Soft Skills : Exceptional organization and multitasking ability, strong communication and interpersonal skills, reliable, proactive and detail-oriented, able to work independently and in a team environment
