QUALIFICATION & EXPERIENCE :
At least 2 years experience
Diploma / Degree preferable
OVERALL JOB PURPOSE :
To assists with the administration of the day-to-day operations of the human resources functions and duties. To carries out responsibilities in some or all of the following functional areas as departmental development, Human Resource Information System, employee relations, training and development, benefits, compensation and payroll.
PRINCIPAL ACCOUNTABILITY STATEMENTS (KEY RESULT AREAS)
PERFORMANCE MEASURES / KPIS
- Registration for new employee reporting to work – Documentation [MyKad Copy, RHB a/c number, photo, EPF & Tax Number, Driving License Copy (if required)], staff card & barrier/door access card, to complete the staff detail form. Briefing on company rules & regulation. To take urine test (male employee).
As & When
- To download & check employee attendance. To provide employee attendance daily report to HOD by email. To monitor employee attendance those problematic. To notify HOD by email if any staff on maternity, paternity, accident (with long MC – sick leave or hospitalisation leave) and hospital warded.
Always
- To prepare employee payroll. To check on employee overtime claim with approval by HOD. To monitor employee deduction (no pay leave, late coming, staff loan, festival advance and others). To email on e-payslip for selected employee & print payslip for those non office employee.
Monthly
- To monitor validity driving license for dispatch, loading & operation (pass paper) clerk, driving & GDL license for drivers. To remind HOD on driver license expiring date for notification.
Always
- To register for new employee & monitor employee leave application by leave form (drivers & attendant) & e-leave system (office). To remind HOD by email on leave pending approval. To provide a report employee on habitually late coming, unpaid leave, emergency & sick leave.
Always
- To access and handling HRIS system (Quick TMS, Quick Pay, VIMS, Finger Tech, i-Login HR )
Always
- To check on employee submission reimbursement claim & pay through on line
Monthly
- To give counselling & monitor closely employees & drivers those attendance problematic for further disciplinary action.
As and When
- To provide staff benefit only for relevant employee (warehouse & transport) T-Shirt, Safety Vest & Safety shoe.
As and When
- To in-charge as a trainer on staff training session.
As and When
- To make sure employee resigned is completely done with exit clearance process before release employee salary.
As and When
- To submit an employee compensation (SOCSO) if employee involve an accident during working hour with medical leave more than 4 days. To notify Risk Management team those employee involve an accident for necessary action.
As and When
- Any incident/accident happen involve with company property, employee are required to provide accident/incident report & supervisor also are require to provide the supervisor incident/accident report to notify risk management & HR for further action.
As and When
- To provide HR briefing to the new staff and existing staff.
As and When
- Be actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process.

- Arrange appointment interview candidate with HOD.
As and When
- To prepare MEMO and circular memo with list acknowledgement to staff.
As and When
- To join the meeting with respective department and takes minutes meeting for circular.
As and When
- To prepare employment letter which Contract Letter, renewal contract letter, expiry contract, Appraisal (Driver, Lorry attendant).
As and When
- To prepare document for Port pass driver (Northport, Westport, PKFZ)

- Other responsibilities as assigned from time to time.
