Transport Planner cum Customer Service

The Transport Planner cum Customer Service role is responsible for the seamless coordination of daily transport operations and customer service communication. The role ensures that all deliveries are executed efficiently, accurately, and in alignment with customer requirements. This position acts as a bridge between Customer Service, Warehouse, Forwarders, Vendors, and the Malaysia Control Tower, ensuring service excellence, compliance, and timely performance reporting.
Job Responsibilities:
Transport Planning (Day & Night Operations)
- Plan, schedule, and optimize Last Mile Delivery (LMD) and line haul transport activities based on volume, routes, and delivery windows.
- Manage truck load allocation and route planning to ensure maximum utilization and cost efficiency.
- Coordinate truck arrivals, ETAs, and vehicle types with Customer Service (CS), Warehouse (WHS), and Forwarding (FWD) teams.
- Compile, verify, and manage all shipping documentation.
- Ensure documentation accuracy, completeness, and compliance with transport and customs requirements.
- Conduct driver briefings, ensure all delivery instructions are understood, and authorize truck release once all criteria are met.
Customer Service & Communication
- Serve as the primary point of contact for all transport-related communication with customer service teams and clients.
- Manage and resolve LMD and delivery-related issues in coordination with internal and external stakeholders.
- Monitor delivery performance and exceptions, providing timely updates and resolutions.
- Prepare and share daily delivery updates, issue logs, and exception summaries with customers or internal CS teams.
- Ensure clear and consistent communication between operational and client-facing functions.
KPI Reporting & Performance Monitoring
- Prepare and maintain daily, weekly, and monthly KPI reports.
- Analyse operational data to identify trends, service gaps, and opportunities for process improvement.
- Present KPI performance reports to management and participate in regular review meetings.
- Align KPI reporting between Malaysia Control Tower and Singapore vendors for consistent operational transparency.
Asset & Vendor Management
- Monitor vehicle utilization, condition, and maintenance schedules to ensure fleet readiness.
- Coordinate with transport vendors to secure truck availability, confirm scheduling, and resolve service issues.
- Review vendor performance regularly, ensuring compliance with contractual KPIs, safety standards, and cost control.
- Support vendor relationship management and contribute to continuous service improvement initiatives.
Stakeholder & Cross-Border Coordination
- Act as the key liaison between Malaysia Control Tower and Singapore vendors for all transport planning and execution matters.
- Maintain strong coordination with Customer Service, Warehouse, and Forwarding teams to ensure operational alignment.
- Facilitate smooth cross-border documentation, communication, and performance updates.
- Participate in daily and weekly coordination meetings to align on plans, priorities, and performance targets.
Qualifications, Experience & Skills
- Diploma or Bachelor's degree in Logistics, Supply Chain Management, or related discipline
- 2–4 years of experience in transport planning, customer service, or logistics coordination (FMCG or 3PL environment preferred)
- Experience in KPI reporting, vendor management, and document control
Working hour:
08.30am- 17.30pm (Mon-Fri)
08.30am-13.00pm(Sat)
**Willing to work in a shift pattern (Day/Night rotation)**
