Event Operations & Administration Coordinator

Job Description

Asia Asset Management Events is seeking a highly organised and proactive Event Operations & Administration Coordinator to provide crucial support in the planning and delivery of impactful events for senior professionals in the Asia-Pacific financial industry. You will play a key role in the logistical and administrative aspects of our events, ensuring they are well-organised, run smoothly, and meet our operational standards.

The ideal candidate will be a resourceful and meticulous individual with a strong focus on operational efficiency and administrative support. You will possess excellent organisational skills, a keen eye for detail, and the ability to follow processes and contribute to problem-solving. We are looking for a motivated individual who is eager to learn and contribute to delivering successful event experiences.

Responsibilities

  • Assist in the logistical planning and execution of events, ensuring all operational aspects are well-coordinated.
  • Support the development and preparation of event materials, such as name badges, registration lists, and signage.
  • Help manage and track event budgets, processing invoices and assisting with financial administration.
  • Assist in the sourcing of and communication with venues, vendors, and suppliers (e.g., caterers, AV technicians) under guidance.
  • Coordinate the setup and breakdown of event spaces, including registration areas, catering stations, and meeting rooms.
  • Provide on-site administrative and logistical support during events, ensuring smooth operations and assisting attendees.
  • Assist in the management of attendee registrations and respond to general inquiries.
  • Help maintain and update event databases and records.
  • Support the preparation of post-event documentation and reports.
  • Assist in maintaining strong relationships with vendors and internal teams through clear communication.
  • Stay informed about basic event operations and administrative best practices.
  • Undertake administrative tasks as required to support the event team.

Requirements and Skills

  • Previous experience in an administrative or operations support role is desirable,
    with a minimum of 2-3 years experience in event operations and management
  • Strong organisational skills and the ability to manage multiple tasks effectively.
  • Excellent attention to detail and a commitment to accuracy.
  • Good computer literacy, including proficiency in MS Office Suite (Word, Excel, Outlook). Familiarity with basic database management is a plus.
  • Strong communication (written and verbal) and interpersonal skills.
  • Demonstrated ability to follow instructions and work as part of a team.
  • A proactive approach to tasks and a willingness to learn.
  • Strong customer-service orientation and a helpful attitude.
  • Essential:

Full fluency in English.
- Highly Advantageous:

Fluency in an Asian language (such as Mandarin, Cantonese, Japanese, or Korean) for written and spoken communication.
- A Bachelor's degree in
Public Relations, Marketing, Hospitality Management, Event Management

, or a related field is preferred.
- Willingness to provide on-site support during events, which may include occasional evenings.
- A willingness and ability to undertake regular travel internationally across the Asia-Pacific region,
