HR & Admin Executive

Job Requirements:
- Candidate must prossess at least a Professional Certificate, Advanced / Higher / Graduate Diploma, Degree, Advanced Degree.
- Fluent in English, Bahasa Malaysia, and Mandarin will be an added advantage.
- Positive attitude, passionate on collaborative teamwork, excel at interpersonal skills.
- Excellent written and verbal communication skills.
- Adaptable to change, able to pivot and find alternate solutions, demonstrated capability in meeting new challenges.
- Good problem solving skills, able to navigate unexpected situations or conditions.
- Critical observer-thinker, bringing fresh perspective and offer intuitive solutions and ideas.
- Demonstrated leadership skills in driving teamwork excellence, conflict resolution.
- Business-minded where applicable with entrepreneurship skill to ensure business success.
- Have strong knowledge of applicable system automation, business solution softwares.
Job Responsibilities:
a) Human Resource
• Maintain and update employee information in both the HR system and physical personnel files.
• Manage end-to-end recruitment activities from posting vacancies to screening, interviewing, shortlisting, and coordinating offers.
• Handle monthly payroll processing with accuracy, including statutory submissions (EPF, SOCSO, EIS, LHDN, HRDC).
• Monitor attendance, leave records, overtime claims, and verify staff reimbursements.
• Support employee relations by addressing concerns, managing grievances, and assisting with conflict resolution.
• Conduct internal investigations and manage disciplinary procedures in line with labour regulations and company policies.
• Contribute to the development and revision of HR guidelines, policies, and SOPs.
• Organise staff training, HRDC-related submissions, and employee development initiatives.
• Manage matters related to foreign employees—including permit and passport renewals if needed.
b) Administrative
• Carry out general administrative responsibilities to ensure efficient daily operations.
• Coordinate employee travel arrangements (flights, accommodation) when needed.
• Oversee office facilities, equipment servicing, and overall workplace cleanliness.
• Manage company vehicles, including road tax, insurance, Puspakom inspections, and maintenance schedules.
• Handle licence renewals and liaise with government departments and local councils when required.
• Prepare administrative and HR reports for management.
• Support miscellaneous administrative tasks and any additional duties assigned
