Warehouse Assistant –

Job Scopes

1. Goods Receiving & Inspection

  • Receive all incoming stock and verify quantities, product codes, and conditions against purchase orders or delivery notes.
  • Check for damages, short shipments, or discrepancies, and report immediately to the Warehouse Executive or Procurement team.
  • Label and tag all new stock accurately (e.g., product name, batch/lot number, received date).
  • Ensure goods are unloaded safely and placed in the correct staging or storage area.

2. Storage & Inventory Control

  • Arrange products neatly according to category, size, or storage condition (ambient/chiller, etc.).
  • Maintain proper stock rotation (FIFO / FEFO) to minimize expired or obsolete goods.
  • Conduct regular cycle counts and assist during monthly or quarterly stocktakes.
  • Help update stock cards or system entries to ensure real-time inventory accuracy.
  • Flag low stock or overstock situations to the Warehouse Supervisor.

3. Order Picking & Fulfilment

  • Pick and pack customer or outlet orders accurately according to the pick list or sales order.
  • Double-check quantities, item codes, and packing slips before sealing boxes.
  • Use suitable packaging to prevent product damage during transport.
  • Prepare orders for courier, driver, or third-party logistics pickup as scheduled.
  • Ensure dispatch areas are clearly separated for outgoing orders vs. returns.

4. Delivery & Logistics Support

  • Assist drivers in loading and unloading goods for delivery runs.
  • Ensure delivery documents (DOs, invoices) are signed and filed properly.
  • Coordinate with the logistics team for delivery scheduling, routing, or urgent requests.
  • Support inter-branch or outlet stock transfers when needed.

5. Warehouse Maintenance & Safety

  • Keep all aisles, racks, and work areas clean, organized, and free from obstruction.
  • Perform daily housekeeping before closing (sweeping, pallet alignment, waste disposal).
  • Handle all warehouse tools and equipment (e.g., pallet jack, weighing scale) responsibly.
  • Follow company safety policies—use PPE where required and report hazards immediately.

6. Administrative Support

  • Assist in updating inventory records, stock movement logs, and related documentation.
  • File receiving notes, delivery orders, and stock adjustment forms neatly.
  • Support audit checks or management spot checks when required.
  • Cooperate with other departments (Sales, Procurement, Accounts) on stock matters.

7. General Expectations

  • Maintain punctuality and discipline; follow daily task assignments from the Warehouse Supervisor.
  • Be adaptable to overtime, stocktake, or urgent shipment tasks when required.
  • Exhibit teamwork, responsibility, and initiative in daily warehouse operations.
