Job Description:

· Prepares and processes monthly payroll and wages payments in an accurate and timely manner for both Malaysia and India offices.

· Ensures monthly and annual statutory payments/submissions are submitted and paid on time for both Malaysia and India.

· Manages monthly staff insurance updates, premium payments, claims submissions, and necessary follow-ups.

· Tracks various types of leave entitlements and applications.

· Generates monthly payroll summaries, payslips, and statutory reports with accurate details such as salary advances, leave balances, EPF, SOCSO, EIS, PCB (Malaysia), and relevant statutory requirements for India.

· Ensures payment vouchers (PV) are printed, and all staff details and bank account information are correctly converted and uploaded.

· Arranges renewal of company licenses before expiry or applies for new licenses when required.

· Prepares letters and memos such as Appointment Memos, Offer Letters, Confirmation Letters, and Increment Letters for HR-related matters.

· Reviews monthly KPI submissions and follows up with staff to ensure timely completion.

· Handles phone calls when necessary.

· Manage employee onboarding and offboarding processes for both Malaysia and India offices.

· Maintain and update employee records to ensure accurate documentation.

· Assist in organizing employee engagement activities and company events.

· Manage HR-related audits and ensure compliance with labor laws in both countries.

· Provide support in handling employee grievances, conflict resolution, and disciplinary actions.

· Collaborate with department heads to identify training needs and arrange development programs.

· Maintain strict confidentiality of employee and company information.

· Support management with HR and payroll reports for budgeting and forecasting.

Expatriate Employment Administration

 In charge of foreign work permit renewal, passport renewal and other immigration & embassy matters.

 Involved in managing, processing and working with ESD, MYXpats & MDEC.

 Handling foreign workers matter from monthly wages.

Requirements:

Degree in Human Resource Management or equivalent.

1-2 years of experience in HR and payroll processing.

Proficient in Microsoft Office and SQL Payroll software.

Strong understanding of Malaysian labor laws and statutory contributions.

Excellent attention to detail and accuracy.

Strong communication and problem-solving skills.

Able to handle multiple tasks and meet deadlines effectively
