Facilities Assistant

Position: Facilities Assistant
Duration: 1 year contract (Renewable subject to performance)
Salary: Open for negotiation
Location: PD
Working hours: Normal working hours
- Assist in managing building services and monitoring key performance indicators, service statistics, and trends to ensure alignment with Business Unit requirements.
- Assist in managing client communications through daily interactions with all levels of the Business Unit (e.g., Intranet, Facilities email, Government letters).
- Monitor and execute all implemented maintenance initiatives/projects as scheduled.
- Handle Record Management.
- Assist in dealing with various vendors for ad-hoc repairs, including sourcing quotations.
- Check and verify all vendor invoices in the SAP system, including handling payment disputes.
- Assist in handling mandatory renewal of the refinery's government licenses, permits, assessment tax, land fees, transportation licenses, etc.
- Assist in preparing tender documents and schedules of rates.
- Assist in preparing Opex and Capex during the Planning & Budgetary cycle.
- Assist in allocating and managing office space and renovations in the building.
- Prepare and review all permits and job scope analyses from contractors before acquiring approval.
- Prepare various reports using Microsoft Office (Excel, Word, PowerPoint, etc.).
- Establish and handle the filing system for all invoices and other documents.
- Perform any other duties as instructed by superiors.
Qualifications:
- Diploma or Certificate in Facilities Management, Business Administration, or a related field.
- Proficient in SAP and Microsoft Office (mandatory).
- Minimum of 3 years of experience in a facilities, administrative, or finance support role.
- Knowledge of basic accounting principles related to invoicing and payment processes.
- Proficiency in AutoCAD is an added advantage for space planning and layout management.
Job Type: Contract
Contract length: 12 months
Pay: RM2, RM3,000.00 per month
