What This Role Does
A specialized HR operations role that owns the full spectrum of operational HR work—payroll processing, statutory compliance, benefits administration, and HRIS management—for assigned portfolio companies, ensuring error-free execution and serving as the operational foundation for strategic HR initiatives.
Your Focus Areas:
- Primary Focus: Payroll Processing — Monthly payroll execution, variance analysis, statutory filings
- Critical Focus: Statutory Compliance — Work-pass renewals, WICA/FWMI enrollment, government surveys, audit support
- Strategic Focus: Benefits & Claims — Medical claims processing, insurance enrollment, vendor coordination
- Supporting Role: HRIS & Records — Data quality maintenance, employee record management, system updates
Key Responsibilities:
- Payroll Processing: Execute monthly payroll, validate inputs, process changes, prepare statutory packs, track T&A and leave, manage OT/shift schedules, and reconcile payroll data.
- Statutory Compliance: Manage work-pass renewals, WICA/FWMI enrollment, respond to MOM/HRDF surveys, and support audits with complete documentation.
- Benefits & Insurance: Process medical claims, coordinate insurance enrollments/renewals, maintain vendor relationships, and track benefits reconciliations.
- Manpower, Onboarding & HR Records: Track requisitions and headcount, manage onboarding, draft lifecycle letters, ensure compliance, update HRIS, and maintain personnel files.
- Vendor, Training & Data Support: Manage vendor renewals and invoices, coordinate training and HRDF grants, generate reports, update dashboards, and drive process improvements.
- Cross-Checking & QA: Review junior Ops Exec work, validate HRIS changes, benefits, compliance docs, and escalate issues promptly to the HROM.
- Portfolio Ownership & Rotation: Own end-to-end operational knowledge of assigned cluster, maintain runbooks, manage handovers, and coordinate with peers.
What You Need to Succeed
- Diploma or Degree in HR, Business Administration, or related field
- 3–5 years' hands-on HR operations experience, including payroll and statutory compliance (IHRP/MPCP certifications a plus).
- Strong Malaysia payroll knowledge (EPF, SOCSO, EIS, PCB/LHDN)
- Proficiency with payroll systems (AutoCount, SQL Payroll, Kakitangan, or similar) and HRIS (Payboy or equivalent).
- Experience with foreign worker compliance (work passes, WICA, FWMI) and cross-border Malaysia/Singapore coordination is highly desirable.
