Job Responsibilities:

Billing & Documentation

  • Prepare and issue progress billing, down payments, and other sales-related invoices in accordance with SPA terms and construction milestones
  • Monitor billing schedules and ensure timely issuance of billing notices
  • Track payment status and follow up on outstanding payments with purchasers, solicitors, and bankers
  • Maintain accurate, complete, and systematic billing records and documentation

Sales Administration Support

  • Maintain and update purchaser records, unit status, and sales documentation
  • Coordinate with solicitors on SPA execution, loan documentation, billing certification, and related matters
  • Liaise with Finance Department on receipts, reconciliations, and credit control matters
  • Support the sales team on sales administration and billing-related processes

Customer Service (End-to-End Support)

  • Act as a key point of contact for purchasers on all sales administration and billing-related matters, not limited to documentation and payments
  • Attend to purchaser enquiries, requests, and follow-ups through phone calls, emails, and walk-ins professionally and promptly
  • Provide clear explanations on billing, procedures, timelines, and general post-sale matters
  • Handle customer feedback, complaints, and issues with care, and coordinate internally for resolution
  • Maintain positive and professional relationships with purchasers to enhance overall customer experience

Coordination & Compliance

  • Ensure all billing activities and customer communications comply with SPA terms, statutory requirements, and internal SOPs
  • Coordinate with Project, Legal, Finance, and other relevant departments to ensure accurate and timely information flow
  • Prepare billing status reports, aging reports, and management updates when required

General Administration

  • Handle purchaser correspondence, filing, and record-keeping efficiently
  • Assist in audits, internal reviews, and management requests
  • Perform other sales administration and customer service duties as assigned

Job Requirement:

Education

  • Diploma or Bachelor's Degree in Business Administration, Accounting, Finance, or related fields

Experience

  • 1–3 years of experience in sales administration, billing, or customer service
  • Experience in the property development / real estate industry is an added advantage
  • Familiar with progress billing and Sale & Purchase Agreement (SPA) processes

Skills & Competencies

  • Strong customer service orientation with good interpersonal skills
  • Good understanding of administrative and billing processes
  • Well-organized, detail-oriented, and able to handle multiple tasks
  • Able to work independently and meet deadlines
  • Proficient in Microsoft Office, especially Excel and Word

Language Requirement

  • Proficient in English and Bahasa Malaysia (mandatory)
  • Mandarin speaking is an added advantage

Job Types: Full-time, Permanent

Pay: RM2, RM3,500.00 per month
