Role Description

  1. Office & Administrative Operations

  2. Manage and supervise the daily operations of the administration department.

  3. Ensure the office environment, facilities, and supplies are well-maintained and functioning.
  4. Oversee office equipment maintenance, vendor management, and service contracts.
  5. Develop and implement administrative systems, policies, and procedures.

  6. Staff Management

  7. Lead, supervise, and support administrative staff (e.g., receptionists, clerks, cleaners, security, drivers).

  8. Conduct performance evaluations and provide training or coaching when needed.
  9. Prepare duty rosters and ensure adequate manpower coverage.

  10. Document & Record Management

  11. Ensure proper filing, documentation, and record-keeping.

  12. Manage company licenses, permits, tenancy agreements, and renewals.
  13. Oversee confidential documents and ensure data privacy compliance.

  14. Budgeting & Cost Management

  15. Prepare and manage the administration department budget.

  16. Monitor and control expenditures related to office supplies, maintenance, and facility operations.
  17. Review vendor quotations, negotiate pricing, and approve administrative purchases.

  18. Health, Safety & Compliance

  19. Ensure workplace safety procedures are in place and followed.

  20. Handle insurance claims related to office facilities (if applicable).
  21. Coordinate emergency response procedures and safety drills.

  22. Support to Management

  23. Provide administrative support to senior management and other departments.

  24. Assist with company events, meetings, and activities (e.g., townhalls, training, celebrations).
  25. Prepare administrative reports for management review.

Job Requirements

  • Bachelor's degree in Business Administration, Management, or related field.
  • Minimum 3–6 years of experience in administrative roles, with at least 2–3 years in a supervisory/managerial position.
  • Strong leadership and communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Knowledge of office management systems and procedures.
  • Ability to work independently, handle pressure, and make decisions.
