- Supervising all Front Office activities i.e guest movement, crowd, staff daily tasks.
- Maintaining a high level of morale within the department by managing and supporting the team and processes put into place.
- Coordinating with other departments within the hotel regarding customer requirements, future bookings, sales trips and conferences etc.
- Ensuring that all guest complaints are dealt with immediately. All complaints to be handled efficiently and professionally with complete follow-up so those guests leave and return with a good impression of the Hotel.
- All incidents to be recorded, brought up for discussion.
- Meeting and maximizing revenue through up selling, developing new clients and converting current guests become regular guests.
- Monitoring and ensuring cleanliness of the Front and Back of House area.
- Assist Security in case of threats, fire evacuation and Troubleshoot emergencies
- To support the General Manager / Hotel Manager/ Operations Manager in following up guest complaint details and liaising with them to obtain details related to any follow up actions offered.
- To be fully conversant with Hotel room type and availability, assisting guests with reservation inquiries and bookings as may be required.
- Ensure compliance with all company policies and procedures by all Front Office staffs.
- Ensure grooming within the department is in line with the Hotel policy.
- Have a thorough knowledge of all credit procedures and ensure that these procedures are adhered to.
- Must know all Hotel products and services and actively recommend to our guests.
- Ensure all book-out guests are taken care of as seen necessary.
- Continuous coaching and counselling of team.
- Review work schedules of all the Front Office staffs.
- Review all guest arrivals and ensure that rooms are assigned according to the reservation and preferences.
- Ensure that there is a thorough hand over at the completion of each shift.
- Ensure all Front Office correspondence is completed within 24hours and ensure proper mail distribution
- To ensure the safety of all guests, staffs and hotel assets by maintaining the security and safety policies of the Hotel, taking control of situations requiring security intervention and using whatever means are required to uphold the security and safety policies of the Hotel.
- To be proficient in all areas of Front Office operations inclusive of reception, cashiering, reservations, concierge and operator.
- To authorize the call out of engineering staff for urgent breakdowns and maintenance problems that directly affect the safety and comfort of hotel guests.
- To check in all pre-registered arrivals, ensuring room keys have been prepared in advance.
- To produce reports required for night back up procedures, checking of rate discrepancy report and posting of room and tax.
- To coach and counsel all Front Office staffs so as to maximize their productivity, efficiency, knowledge of Front Office daily operations.
- To personally welcome VIP's and other high-profile guests to the hotel in the absence of the General Manager / Hotel Manager/ Operations Manager.
- To supervise and assist other hotel departments when required.
- Monitor stock and order office supplies
- Prepare and monitor office budget
- Keep updated records of office expenses and cost
Perform any other duties as assigned by the management or superior
