Inviting applications for the role of HR Operation – Payroll Specialist

This position is responsible for providing payroll and/or Time and Attendance (T&A) services to Greater Asia associates, assisting with efficient operation of the entity's payroll and/or T&A functions based on the country profile(s) delegated to you. Work effectively in team environment with other payroll specialist to complete all aspects of back end payroll processing, journal entries, tax filing and third party management and/or T&A activities, such as attending associates queries via One HR (Case management system), report generation, monthly T&A cut off activities as well as yearly activities such as to ensure T&A system granting new accruals accurately, process manual accruals uploads and public holiday calendar maintenance. Daily interaction with various functions as needed to ensure adherence and compliance to define pay policies and procedures. Work collaboratively with Supervisor and Senior Specialist on the task cascaded to you.

Responsibilities

  • Manage customer expectations within the payroll scope of delivery by attending and processing enquiries and requests via the defined processes and utilizing problem solving skills for resolution.
  • Ensure employee's payroll and time data are processed accurately and reviewed based on the define checklist.
  • Work in collaboration with other team members to establish and maintain a confidential and sensitive work environment.
  • Monitor and manage case daily. Analyzing, understanding, solving problems with complying to the standard scope of delivery.
  • Ensure completeness of response, follow up cases are attended timely, shortest resolution time and resulting zero re-open tickets.
  • Ensure all issues are captured in the issue log accurately and quality description on a timely manner.
  • Focusing on customer (associate) service by handling all customer requests in a professional manner.
  • Participate in monthly operations review meeting with HR as and when required.
  • Ensure all unsolved and potential issues are escalated timely to Supervisor according to the standard escalation process.
  • Carry out payroll and on time services according to the standard procedures, job aids and guidelines. Report any deviation to Supervisor immediately before proceeding with the activity.
  • Participate in all compliance audits and respond to audit queries.
  • Ensure all work documentation and work processes are updated.
  • Work closely with ADP to meet BD ASC objectives and improve the customer experience.
  • Provide support to implement improvement, work reduction and task simplification initiatives which are assigned by Supervisor or Manager.
  • Perform system related testing i.e., payroll or time & attendance system as per requirement. Ensure all tested outputs are capture according to the requirement.
  • Drive monthly operations review meeting with HR as and when required.
  • Contribute to the operational process improvement activity by providing support to Supervisor/Manager in any improvement program initiatives.
  • Act as a back up to the other team members to deliver and manage customer's expectations as and when required.
  • Focus on results & timeliness and getting things right at the first time.

Qualifications we seek in you

Minimum Qualifications

  • Graduate with a bachelor's degree preferred.
  • With approximately 1 to 3 years working experience in similar job function
  • Experience in working in HR Shared Service and/or working with payroll outsourcing vendor is preferred.
  • Proficiency in Microsoft Word and Excel is mandatory.
  • Experience in payroll and time management processing.
  • Candidate with China/ India/ SG/ ANZ End-to-End payroll experience is preferred.

Preferred Qualifications/ Skills

  • Ability to pay close attention to details and use time effectively.
  • Excellent oral and written in Chinese Simplify with the ability to independently compose routine written communications.
  • Posted with good understanding of payroll statutory knowledge.
  • End-to-end payroll hands on experience is strongly desirable.
  • Strong attention to detail and the ability to use that information to represent the service center to the stakeholder using influence and persuasion to ensure process considerations are accounted for in new or modified programs and policies.
  • Strong problem solving and analytical ability.
  • Poses CI/ improvement mindset.
