Licensing and Administration Executive

Job Summary:
The Licensing and Administration Executive is responsible for managing all company licensing, registration, and renewal matters with government and statutory bodies. This role also handles general administrative duties to support smooth daily operations and ensure all company records, permits, and compliance documents are up to date — particularly those required for solar energy or engineering projects.
Key Responsibilities:
Licensing & Compliance
- Prepare, submit, and monitor applications, renewals, and approvals for company licenses, permits, and registrations (e.g., SSM, Suruhanjaya Tenaga, CIDB, TNB, SEDA, local authorities, etc.).
- Maintain and update a database of all licenses, certificates, and expiry dates to ensure timely renewals.
- Liaise with relevant government agencies, regulatory bodies, and local councils on licensing or compliance matters.
- Assist in preparing and compiling documents required for project tenders, authority submissions, and audits.
- Ensure the company complies with all statutory and industry-specific regulations.
Administrative Support
- Handle general administrative tasks including correspondence, documentation, and filing.
- Manage company asset records, insurance renewals, utility bills, and office maintenance arrangements.
- Prepare official letters, reports, and other administrative documentation as required.
- Coordinate with suppliers, contractors, and vendors for administrative or service-related matters.
- Provide support to the HR and Finance teams on administrative coordination when required.
Coordination & Reporting
- Work closely with internal departments to ensure timely submission of licensing documents for ongoing projects.
- Prepare regular reports on the status of licenses, renewals, and compliance activities.
- Assist during internal and external audits by providing required documentation.
Requirements:
- Diploma or Degree in Business Administration, Management, or a related field.
- 2–4 years of working experience in licensing, compliance, or administrative roles.
- Knowledge of government procedures and online submission systems (e.g., SEDA e-Submission, CIDB portal, MyGOV, etc.) is an advantage.
- Strong organizational skills and attention to detail.
- Good communication and interpersonal skills in both English and Bahasa Malaysia.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Able to work independently with minimal supervision.
Job Types: Full-time, Permanent
Pay: RM2, RM3,300.00 per month
