This position will be hired under our Malaysia Subsidiary - Quantium Solutions International (Malaysia) Sdn Bhd.

Based in Shah Alam - Malaysia.

We are seeking a highly experienced and detail-oriented HR coordinator to manage the full talent acquisition and separation of lifecycle globally. This role is pivotal in attracting, integrating, and transitioning talent seamlessly. The ideal candidate will be a proactive problem-solver with deep expertise and a passion for creating exceptional employee experience from hire to retirement.

Key Responsibilities

  • Partner with global department heads to understand hiring needs and develop effective global recruitment strategies.
  • Manage the full recruitment lifecycle: from job description creation and posting to sourcing, screening, interviewing, and offering.
  • Utilize various channels (job boards, social media, LinkedIn Recruiter, referrals) to attract high-quality candidates.
  • Maintain recruitment pipelines.
  • Coordinate, arrange and conduct interviews.
  • Facilitate the offer process, including salary negotiation and background checks.
  • Visa & Immigration Processes
  • Global Mobility: Understanding of relocation, tax implications, and cultural onboarding.
  • Cross-Cultural Communication & Interviewing
  • Compliance & Data Privacy
  • Onboarding: Design and execute a comprehensive onboarding program that ensures new hires are effectively integrated into the company culture and are productive quickly.
  • o   Prepare onboarding schedules and coordinate with IT, facilities, and hiring managers.
  • o   Conduct orientation sessions and ensure completion of all new hire protocols and documentation.
  • Offboarding: Manage the employee separation process with professionalism.
  • o   Conduct exit interviews to gather feedback and identify trends.
  • o   Recover company assets.
  • o   Ensure compliance with company policies and legal requirements during termination.
  • Assist in global HR & Admin projects

Requirements

  • Education: Bachelor's degree in human resources, Business Administration, or a related field.
  • Experience: Minimum of 1-2 years of progressive experience in Human Resources.
  • Experience in international recruitment is a must.
  • Visa & Immigration Processes: In-depth knowledge of Malaysian immigration (e.g., Employment Pass, Dependent Pass, Professional Visit Pass) and familiarity with other countries' processes is a major differentiator.
  • Cross-Cultural Communication & Interviewing: Ability to assess candidates across different time zones and cultural contexts.
  • Technical Skills: High proficiency in Microsoft Office Suite (especially Excel) and HRIS and payroll platforms.
  • Detail-Oriented: Exceptional attention to detail and accuracy, especially with numerical data.
  • Discretion & Integrity: Ability to handle highly confidential information with the utmost discretion.
  • Communication: Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels.
  • Problem-Solving: Strong analytical and problem-solving skills with a proactive approach and a self-learner.
  • Proficiency in speaking and written English, Mandarin and Cantonese are a must.
