Job Summary

The HR Executive is responsible for supporting the Human Resources department in managing and executing day-to-day HR operations. This includes recruitment and staffing, employee relations, payroll and benefits administration, HR documentation, and performance management. The role ensures that all HR processes align with company policies, labor laws, and best practices, contributing to a positive and productive workplace environment.

Key Responsibilities1. Recruitment & Staffing

  • Assist in identifying staffing needs and developing job descriptions and specifications.
  • Post job advertisements and manage candidate sourcing through multiple recruitment channels.
  • Conduct initial screenings, arrange interviews, and coordinate with hiring managers during the selection process.
  • Handle onboarding and induction programs for new employees to ensure smooth integration into the organization.

2. Employee Relations & Engagement

  • Act as the first point of contact for employee inquiries and grievances, ensuring timely and professional resolution.
  • Support employee engagement activities, company events, and staff welfare initiatives.
  • Maintain a positive and supportive workplace culture that encourages teamwork and productivity.

3. HR Administration & Documentation

  • Maintain and update accurate employee records in HR systems and databases.
  • Prepare HR-related letters, reports, and documentation such as confirmation, promotion, and termination letters.
  • Ensure compliance with company policies, standard operating procedures, and local labor laws.

4. Payroll & Benefits Administration

  • Assist in payroll preparation by providing and verifying data such as attendance, leaves, and overtime.
  • Administer employee benefits including medical insurance, EPF, SOCSO, EIS, and annual leave entitlements.
  • Liaise with government bodies, statutory agencies, and external vendors when required.

5. Performance Management & Training

  • Support the performance appraisal process and maintain evaluation records.
  • Identify training needs and assist in planning and organizing training programs.
  • Track training attendance, collect feedback, and evaluate training effectiveness.

Requirements

  • Bachelor's degree in Human Resource Management, Business Administration, or a related field.
  • Minimum of 3 years of experience in HR or administrative roles.
  • Sound knowledge of Malaysian labor laws and HR best practices.
  • Strong communication, coordination, and interpersonal skills.
  • Proficient in Microsoft Office and HR management systems.
  • High level of confidentiality, professionalism, and attention to detail.
