Responsibilities

  • Manage, coordinate and maintain correspondence, meeting and appointment arrangement, coordination of board meeting matters, preparing agendas, taking minutes etc.
  • Manage travel and accommodation arrangement, personal drivers schedule, prepare and compile reports/materials, attend to clubs and associations matters and participate in ad-hoc assignment/projects
  • Handle Private & Confidential documents discretely and confidentially, prepare claims and payments, and carry out other administrative support
  • Administration of licenses & agreements – ensure renewal, submission of annul transaction report, liaise with parties and lawyer, changes of company particulars/directorship, etc are submitted in a timely manner to the authority
  • Draft letters, emails and contracts and handling correspondences
  • Administrator / custodian of company SOPs. Perform annual review to ensure documents are current.
  • To liaise with lawyers / company secretary / accountant when necessary
  • Handle any ad-hoc tasks as and when required and assigned by superiors
  • Managing, organizing, orchestrating, and keeping all essential files, records, and documents up-to-date as needed, both physical and digital.
  • Ability to review letters, policies and contracts etc.
  • Prepare summarised reports, letters and notices.

Qualifications

  • At least 3 years of working experiences in the related field
  • Strong written and verbal communication skills, especially email etiquettes
  • Excellent command of all English, Malay and Chinese
  • Organised, detail-oriented with good comprehension and analytical ability
  • Must be self-motivated and proactive in every approach
  • Proficient in Microsoft office
  • Computer literacy is a MUST
