Job Summary

The Administrative Executive is responsible for ensuring smooth daily operations by managing documentation, coordinating with internal teams, handling purchasing processes, and supporting management with administrative tasks. This role requires strong organization, communication skills, and the ability to work independently with minimal supervision.

Key Responsibilities1. General Administration

  • Handle daily administrative operations, including filing, record-keeping, documentation, and correspondence.
  • Maintain office supplies, stationery, and ensure all necessary materials are stocked.
  • Manage incoming/outgoing email, calls, and messages professionally.
  • Organize and maintain company documents, contracts, and SOP files.

2. Purchasing & Inventory Coordination

  • Liaise with suppliers for quotations, purchase orders, and delivery schedules.
  • Prepare purchase requests and track approval processes.
  • Coordinate with warehouse/operations to monitor stock levels.
  • Ensure timely delivery and verify received goods against purchase orders.

3. Finance & Claims Support

  • Assist with basic bookkeeping tasks such as invoice submission, payment tracking, and petty cash management.
  • Handle staff claims and ensure correct documentation for submission.
  • Prepare simple reports (weekly/monthly) for expenses, stock movement, or purchases when required.

4. Operations Support

  • Coordinate with operational teams to ensure smooth workflow.
  • Support daily operation needs such as preparing forms, checklists, and reports.

5. Management Assistance

  • Assist in drafting letters, memos, meeting minutes, and official documents.
  • Maintain confidentiality and professionalism at all times.

Requirements

  • Minimum SPM / Diploma in Business Administration or related field.
  • At least 1 year of working experience in admin or related role (fresh graduates may be considered).
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Good communication skills (English, BM; Chinese is a plus).
  • Able to work independently, multitask, and meet deadlines.
  • Positive attitude, responsible, and trustworthy.

Working Conditions

  • 5 days work week (depending on company setup).
  • Office-based with occasional visits to operations if required.
  • Must be comfortable working in a fast-paced environment.
