Overview

The HR Executive is responsible for managing the full spectrum of human resources functions, including recruitment, hiring, onboarding, training, employee relations, performance management, and payroll & benefits administration. This role ensures that all HR activities comply with Malaysian employment laws while supporting the organization's strategic objectives.

Key Responsibilities

1. Recruitment & Hiring

  • Manage end-to-end recruitment process from job posting, screening, shortlisting, and interviewing candidates.
  • Coordinate interview schedules with hiring managers and ensure a smooth candidate experience.
  • Prepare job offers, negotiation, and placement of successful candidates.
  • Maintain and update candidate databases and recruitment reports.

2. Onboarding & Offboarding

  • Prepare onboarding documents, employment contracts, and orientation schedules.
  • Conduct new employee orientation to ensure smooth integration into the company.
  • Handle offboarding procedures including exit interviews, clearance forms, and final documentation.

3. Training & Development

  • Identify training needs together with department heads.
  • Arrange internal and external training programs and maintain training records.
  • Monitor training effectiveness and ensure compliance with HRDF requirements (if applicable).

4. HR Strategy & Policy Management

  • Assist in developing, implementing, and updating HR policies and SOPs.
  • Support management in planning HR strategies aligned with company goals.
  • Ensure HR practices comply with the Employment Act and other regulatory guidelines.

5. Employee Relations

  • Address employee inquiries, grievances, and disciplinary matters in a timely and professional manner.
  • Promote a positive working environment and support employee engagement initiatives.
  • Maintain accurate HR records, personnel files, and documentation.

6. Performance Management

  • Coordinate annual performance appraisal cycles.
  • Track employee KPIs, probation confirmations, and performance improvement plans.
  • Work with managers to ensure performance standards are met and documented.

7. Payroll, Compensation & Benefits

  • Assist in preparing monthly payroll, including allowances, OT, deductions, and statutory contributions (EPF, SOCSO, EIS).
  • Administer employee benefits such as leave management, medical claims, insurance, and attendance.
  • Ensure accuracy and confidentiality in payroll processing.

8. Compliance & HR Administration

  • Ensure all HR activities comply with Malaysian labour laws and statutory requirements.
  • Prepare HR reports, memos, and letters such as warning letters, termination letters, and confirmation letters.
  • Maintain HR systems, attendance software, and employee data updates.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration, or any related field.
  • Minimum 3–5 years of working experience in Human Resources.
  • Strong understanding of Malaysian labour laws and statutory contributions (EPF, SOCSO, EIS).
  • Excellent communication, problem-solving, and interpersonal skills.
  • Ability to work independently, handle confidential information, and manage multiple tasks efficiently.
  • Proficient in MS Office and HR systems/software.

Job Type: Full-time

Pay: RM5, RM8,000.00 per month
