Job Purpose
To provide general administrative and clerical support to ensure efficient operation of the office, including document handling, record keeping, coordinating office supplies, and assisting other departments as needed.
Responsibilities
- Office Administration:
Handle daily administrative tasks such as filing, copying, scanning, and managing office supplies, facilities, and meeting room bookings. - Document Support:
Prepare reports, letters, and other documentation as required. - HR Assistance:
Support HR functions, including company events, recruitment, staff onboarding/offboarding, and maintaining personnel records. - HR Records Management:
Update HR registers (e.g., training, medical checkup, warnings, resignations) and staff data in the BOSS system. - Employee Services:
Manage issuance of staff ID cards, access cards, uniforms, and related items. - Communication & Reception:
Handle calls, visitors, and internal communication, ensuring professional interactions and guest arrangements. - Government & Other Duties:
Submit and follow up on government documents, liaise with authorities, and perform any additional tasks assigned by superiors.
Qualifications
- Minimum Diploma/SPM level in any discipline.
- Minimum 1 year experience in HR, administrative roles or related.
- Demonstrates great interpersonal skills in all interactions.
- Ability to manage employee relations, including conflict resolution, performance management, and disciplinary actions.
- Commitment to continuous learning and staying updated with HR trends and best practices.
