Role Overview:

The Procurement Executive (F&B) plays a key role in managing the purchasing of food items, beverages, consumables, and operational supplies for all outlets and the central kitchen. This position ensures products are sourced cost-effectively, delivered on time, and meet quality standards. It also involves maintaining strong relationships with suppliers and supporting day-to-day operational needs.

Key Responsibilities

Sourcing & Purchasing

  • Identify, assess, and appoint suitable suppliers for both F&B and non-F&B items.
  • Secure quality products while ensuring competitive pricing.
  • Negotiate purchase terms, rates, and agreements.

Order Processing & Inventory Support

  • Generate purchase orders according to outlet and central kitchen needs.
  • Ensure items are ordered and delivered promptly to prevent shortages or excess stock.
  • Coordinate closely with warehouse teams and outlets on stock levels and replenishment.

Supplier Coordination

  • Develop and maintain strong working relationships with vendors.
  • Track supplier reliability, product quality, and delivery performance.
  • Conduct periodic supplier reviews and assessments.

Cost Management

  • Monitor purchasing expenses and ensure alignment with approved budgets.
  • Highlight cost-saving opportunities and recommend process improvements.
  • Keep updated records of procurement activities and pricing.

Compliance & Standards

  • Ensure all procured items comply with company policies, food safety requirements, and Halal standards.
  • Stay informed on market updates, new product offerings, and industry regulations.

Reporting & Cross-Department Support

  • Prepare regular reports on procurement performance, cost breakdowns, and supplier updates.
  • Work closely with outlet managers, chefs, warehouse, and finance teams to meet procurement needs.
  • Assist during internal and external audits with required documentation.

Key Requirements

  • Diploma/Degree in Supply Chain, Business, or related field.
  • 2–3 years of experience in F&B purchasing or supply chain (experience in restaurants, hotels, or central kitchen is preferred).
  • Strong negotiation, communication, and analytical skills.
  • Familiar with food safety guidelines, Halal processes, and general F&B standards.
  • Proficient in MS Office and procurement-related systems.
  • Able to multitask and deliver results under tight deadlines.
