Role and Responsibilities:

  • Manage the calendar of the Chief of Staff & CEO by scheduling appointments, organizing meetings, and prioritizing urgent requests effectively.
  • Prepare and organize materials for meetings, conferences, and agendas to ensure the Regional Manager is fully prepared for all engagements.
  • Record and distribute accurate meeting minutes for sessions attended by the regional team, ensuring timely communication with relevant stakeholders.
  • Provide comprehensive administrative support to the regional team, including managing correspondence, documentation, and overall office administration.
  • Coordinate and support the meetings and activities of the Senior Management Team.
  • Track, follow up on, and report the status of delegated tasks and action items on behalf of the Regional Manager.
  • Serve as the primary liaison for all internal and external communications related to the  CEO Office team, maintaining a high level of professionalism and confidentiality at all times.
  • Communicate and collaborate with all levels of management, departments, and external stakeholders in a professional and discreet manner.
  • Perform any other administrative or operational duties as assigned by the CEO Office or operations team.

You should have:

  • Diploma or Degree in Business Administration or a related field.
  • Minimum of 3 years' experience in a secretarial or administrative support role.
  • Excellent organizational skills with the ability to multitask and prioritize effectively under pressure.
  • Strong attention to detail and a high level of accuracy in work.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Excellent communication skills in English, Mandarin, and Bahasa Melayu (both written and spoken).
  • Strong interpersonal skills with a proactive and professional approach.
  • Able to maintain confidentiality and demonstrate integrity in handling sensitive information.
