Customer Support Administrator (Leads Management)

Position Overview:

Responsibilities:

Leads Management:
Qualify leads based on predefined criteria and route them to the appropriate sales representatives.

Maintain accurate records of leads, interactions, and follow-up actions in the CRM system.

Quotation and Invoice Generation:
Prepare and issue quotations in response to client inquiries, ensuring accuracy and timely delivery.

Coordinate with sales representatives and relevant departments to gather necessary information for quotations.

Generate invoices for completed transactions, verifying pricing, terms, and billing details.

Order Processing and Coordination:
Facilitate order processing by liaising with clients, sales representatives, and logistics teams.

Coordinate with internal departments to ensure timely fulfillment of orders and resolution of any issues.

Communicate order status updates and delivery schedules to clients, providing exceptional service throughout the process.

Customer Service and Support:


Serve as the primary point of contact for customer inquiries, addressing questions, concerns, and feedback in a timely and professional manner.

Resolve customer issues and escalations promptly, coordinating with relevant departments as needed.

Proactively follow up with clients to ensure satisfaction, gather feedback, and identify opportunities for improvement.

Documentation and Record-Keeping:
Maintain organized records of quotations, invoices, orders, and customer communications.

Ensure compliance with company policies and procedures regarding documentation and data management.

Assist in the development and maintenance of standardized processes and templates for quotations and invoices.

Qualifications:
Bachelor's degree in Business Administration, Marketing, or related field (preferred).

Proven experience in customer support, administrative roles, or related positions.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal abilities.

Proficiency in Microsoft Office suite and CRM software.

Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.

Customer-centric mindset and a commitment to delivering exceptional service.

Previous experience in sales support or leads management is a plus.
