Key Responsibilities:

  • Coordinate with all Pyrochar entities around Malaysia and Asia for and on behalf of the Group CEO.
  • Maintain a systematic filing system and safekeeping of important documents.
  • Undertake special assignments, adhoc functions, and related duties as and when required.
  • Perform secretarial duties and provide administrative support to the Group CEO and other authorized personnel.
  • Assist the Group CEO in managing output, workflow, and office deadlines.
  • Draft and dispatch all Group CEO's correspondences to related internal and external parties.
  • Manage the Group CEO's schedules and appointments, keeping him informed regularly.
  • Assist the Group CEO in handling personal, private, and confidential matters.
  • Attend meetings with the Group CEO when required, take notes, and follow up on issues discussed.
  • Follow up and coordinate activities of various departments within the company and update the Group CEO regularly.
  • Assist in internal events and projects as required and associated with performing assigned duties.
  • Plan, coordinate, and secure the Group CEO's official travel arrangements.
  • Serve as the focal person/liaison to new business partners and assist with prerequirement documentation for new business ventures.
  • Delegate assignments to the appropriate department or make referrals to the appropriate associates.
  • Assist in the preparation and compilation of presentation slides and business proposals.
  • Coordinate business development activities (pre & post) in a timely manner.
  • Assist in AGM preparation and administration functions.
  • Other duties as may be assigned by the Group CEO from time to time.

Qualifications:

  • Degree holder or secretarial certification with proven working records of a minimum of 8 years.
  • Proven experience as an office manager, administration executive, or in a similar administrative role.
  • Exceptional organizational and multitasking abilities.
  • Strong digital skills, including proficiency in graphic design software, document formatting, and presentation tools.
  • Excellent written and verbal communication skills in English, Bahasa Malaysia, and Mandarin.
  • Understanding of company governance and regulatory compliance.
  • Ability to work independently and as part of a team.
