Join our team as an Administrative Assistant to the General Manager, providing essential support to our management staff and ensuring seamless day-to-day operations.
Duties & Responsibilities:- Reports directly to the General Manager and interacts closely with the management team.
- Provides administration support to the General Manager, enabling the management staff to focus on daily requirements.
- Communicates with operational staff about ongoing and future projects discussed during meetings.
- Monitors and completes all contracts and tenders chosen by the company, ensuring timely and accurate submissions.
- Administers and files documents for the General Manager, including preparation of reports and documents.
- Prepares meeting minutes for weekly briefings and daily printouts of supplier invoices.
- Handles general telephone, fax, and walk-in inquiries for the General Manager.
- Coordinates with operational staff for site inspections and briefings of tenders that require attendance.
- Establishes and maintains a filing and recording system for the Administration department for easy reference.
- Monitors and responds to all ongoing and incoming emails, ensuring timely and complete responses.
