The position is based in our Penang Office in Malaysia.

Job Overview

To be an integral part of the marina management team and be responsible for the marina office administration, customer services, accounts inputs and report.

Key Responsibilities

  • Oversee the office administration and handle the routine management tasks in the absence of the Manager, as required.
  • Input accounting data into the Timberline accounting system and maintain close collaboration with Finance & Accounts team to ensure accuracy and timeliness.
  • Respond promptly to customer enquiries via email, phone and in-person. Manage the registration of arriving boats and check-out of departing boats, including the issuance of marina gate access cards.
  • Maintain and account for office petty cash, laundry funds and other relevant finances as needed.
  • Create purchase orders and other necessary documentation for suppliers and ensuring that approvals are obtained as required.
  • Prepare monthly utility invoices for boaters and compile reports on marina operations.
  • Work closely with HR & Admin team to maintain the office stationery and refreshment supplies effectively.
  • Assist marina staff in processing leave applications and claims.
  • Manage the maintenance and servicing schedules for office equipment, arranging for repairs and servicing when necessary.
  • Ensure the office and boaters' lounge are kept clean and organized. Verify that the office door is securely locked when unattended and at the end of each working day.

Requirements

  • A Diploma in Business Studies/ Administration or a related field.
  • A minimum of 3 - 5 years working experience in an office environment.
  • Proficiency in Microsoft Office software including Word, Excel and PowerPoint.
  • Strong verbal and written communication skills.
  • Self-motivated with the ability to work independently or as a part of a team. Proactive and positive attitude.
  • Willingness to work on weekends.
