Administrative Assistant

The Administrative & Compliance Assistant will work directly under the Director of Operations & Compliance, providing full administrative and compliance support. This role involves managing documentation, coordinating with banks, ensuring regulatory compliance, and handling various operational and administrative tasks. The candidate must be detail-oriented, proactive, and capable of multitasking in a fast-paced environment.
Responsibilities- Administrative Support
- Manage the Director's schedule, meetings, and travel arrangements
- Prepare, organize, and submit documents for signature and approvals
- Oversee general administrative tasks and office coordination
- Maintain accurate filing systems and document management
- Compliance & Banking Coordination
- Assist in regulatory filings and compliance documentation
- Liaise with banks and financial institutions in Chinese and English for compliance matters
- Support AML/KYC procedures and internal audits
- Ensure all compliance records are properly maintained and up to date
- Operational & Team Collaboration
- Work closely with Labuan office teams in Bahasa Malaysia
- Assist in coordinating compliance tasks with different departments
- Ensure proper communication and reporting between teams
- Fluent in Chinese, English, and Bahasa Malaysia (spoken & written)
- At least one compliance certification (AML, KYC, or related)
- Minimum 1-2 years of experience in administration, compliance, or finance
- Strong organizational skills and ability to handle multiple tasks independently
