The Administrative & Compliance Assistant will work directly under the Director of Operations & Compliance, providing full administrative and compliance support. This role involves managing documentation, coordinating with banks, ensuring regulatory compliance, and handling various operational and administrative tasks. The candidate must be detail-oriented, proactive, and capable of multitasking in a fast-paced environment.

Responsibilities
  • Administrative Support
    • Manage the Director's schedule, meetings, and travel arrangements
    • Prepare, organize, and submit documents for signature and approvals
    • Oversee general administrative tasks and office coordination
    • Maintain accurate filing systems and document management
  • Compliance & Banking Coordination
    • Assist in regulatory filings and compliance documentation
    • Liaise with banks and financial institutions in Chinese and English for compliance matters
    • Support AML/KYC procedures and internal audits
    • Ensure all compliance records are properly maintained and up to date
  • Operational & Team Collaboration
    • Work closely with Labuan office teams in Bahasa Malaysia
    • Assist in coordinating compliance tasks with different departments
    • Ensure proper communication and reporting between teams
Requirements
  • Fluent in Chinese, English, and Bahasa Malaysia (spoken & written)
  • At least one compliance certification (AML, KYC, or related)
  • Minimum 1-2 years of experience in administration, compliance, or finance
  • Strong organizational skills and ability to handle multiple tasks independently
