Job Title: Finance Office
Reporting to: Assistant Finance Manager, Finance Manager
Work with: Cross Internal department, external parties, and stakeholder
**ROLES**:
- **The position is accountable for**:_
Assist to the preparation and custody of the Society's accounting records and the timely submission of all information to provide the management with operating results and accounting schedules inclusive of accounting and financial operations, audit, to ensure the smooth running of the office on a day-to-day basis and provide administrative support for daily operations of Finance department.
**JOB DESCRIPTION**:
Responsible for preparation of full set accounts, including preparation of monthly management accounts and accompanying information schedules
Perform accounts payable, accounts receivable and general ledger functions with focus on accuracy of transactions and internal controls.
Ensure monthly accounts are closed on time and provide monthly management reports
Prepare payment vouchers, petty cash vouchers, and accounts payable & maintain copies of payment vouchers, invoices, correspondences, and others financial document.
Monitor daily cash flow and prepare bank reconciliation.
Cooperate with other departments on preparing accounting documents.
Prepare invoices, billing, expenses, payroll records etc. as assigned
To liaise with auditors and coordinate the auditing of accounts for each financial year.
Performing other ad-hoc assignments as and when required by superiors
**Main Responsibilities**
Perform any combination of the following task:
- **1) Tax Receipt (Donation) Issuance**
- Perform receipting of donor’s contribution timely and accurately.
- Daily update and maintain donations account master database.
- Track and resolve donor’s payment problems and discrepancies as needed
**2) Handling Fundraising and Disaster Project**
- Assist in preparing budget and cashflow project by IFRC or collaboration/fundraising
- Assist in Audit, Budget, and Meeting
**3) Filling and Office arrangement**
- Performing basic office tasks, such as filing, data entry (key-in transaction) etc
- Tagging and labelling files
- Sorting Cabinet and document storage
**4) Staff Claims and payment request**
- Process Staff Claims Overtime (HR)
- Ensure proper calculation of claims together with supporting documents
- Ensure incoming request was properly received with sufficient documents
**5) Other Duties**
- Providing back-up support to Finance Department
- Any other duties as assigned
**Position Requirements**:
- Required language(s): English & Bahasa Malaysia
- Required Skill(s): ABSS accounting software, MS Excel and PowerPoint
- Preferably Executive specialized in Finance - General/Cost Accounting or equivalent.
- At least 3 Year(s) of working experience in the related field is required for this position.
- Excellent numerical skills and finance acumen.
