Assistant Manager, Travelling

**Role Objective**
- We are looking for an experienced Head of Unit, Ticketing & Internal Event to be part our team and oversee all aspects of corporate travel arrangements for PR1MA Corporation Malaysia.
- This position will be responsible for managing travel policy compliance, negotiating with vendors, managing internal events with employee and providing exceptional customer service to PR1MA employees.
**Key Accountabilities & Responsibilities**
- Develop and implement a comprehensive corporate travel policy that aligns with PR1MA objectives and ensures cost-effective and efficient travel arrangements.
- Coordinate and book flights, accommodations, transportation, and other travel-related services for employees, ensuring adherence to the PR1MA’s travel policy.
- Negotiate preferred rates with airlines, hotels, car rental agencies, and other travel vendors to secure cost-effective travel solutions.
- Maintain accurate and up-to-date records of travel expenses, bookings, and invoices, and provide regular reports on travel spending to Head of Department, Administration.
- Assist employees with travel arrangements, including booking, changes, cancellations, and addressing any travel-related issues or emergencies.
- Stay up to date with industry trends and changes in travel regulations to ensure compliance and provide timely updates to the PR1MA’s travel policy.
- Collaborate with finance and accounting teams to reconcile and allocate travel expenses appropriately and ensure timely reimbursement for employees.
- Continuously evaluate and improve the corporate travel program by identifying opportunities for cost savings, process efficiencies, and ease PR1MA’s employee travel.
- Provide training and guidance to employees on the procedures, and online booking tools.
- Monitor travel disruptions, such as flight delays or cancellations, and provide timely assistance and alternative solutions to minimize travel disruptions for employees.
- Build and maintain strong relationships with travel vendors and partners to ensure smooth communication and problem resolution.
- Handle any escalated travel-related issues and complaints, striving to find satisfactory solutions for both the company and employees.
- Participate in travel industry events, conferences, and workshops to stay informed about new travel technologies, trends, and best practices.
**Qualifications**:
- Bachelor's degree in Hospitality Management, Business Administration, or a related field (or equivalent work experience).
- 5 - 7 years of experience in travelling fields.
- Strong understanding of corporate travel policies, travel booking systems, and travel management tools.
- Excellent negotiation, communication, and interpersonal skills.
- Attention to detail and ability to analyse travel data and expenses, with report writing skill.
- Proficiency in using travel booking platforms and software.
- Ability to work under pressure, handle multiple tasks, and manage deadlines.
- Customer-focused attitude with a commitment to providing excellent service.
- Strong problem-solving skills and ability to handle travel-related emergencies.
- Familiarity with travel regulations and compliance standards.
- Willingness to adapt to changes in the travel industry and implement innovative solutions.
**Job Type**: Contract
Contract length: 12 months
**Salary**: RM6,000.00 - RM8,500.00 per month
