Receptionist Administrative Assistant

**Admin Assistant**:
1. Facilitate new staff onboarding procedures, including setting up thumbprints and E-live system access.
2. Keep meticulous records of company items like touch & go cards, empty SIM cards, company uniforms, and mobile phones.
3. Manage office supplies, printing materials, and office maintenance, such as photocopy machine upkeep.
4. Coordinate with suppliers/vendors to obtain competitive quotations for office items like stationery and computer forms.
5. Oversee stock management, orders, and cost reduction by analyzing admin spending.
6. Update administrative records, including intercom systems, mobile lines, lobby slipper numbering, and thumbprint records.
7. Monitor daily employee attendance, ensuring completion before payroll deadlines, and provide reports to top management.
8. Handle staff claims by inputting data into the system and obtaining approvals, including setting up the E-leave system for new hires.
9. Provide administrative support to all staff levels, including ad-hoc tasks like slide presentations.
10. Maintain and update records for company vehicles, including managing insurance renewals, Puspakom, and road tax.
**Receptionist**:
1. Welcome and greet visitors professionally and courteously.
2. Manage incoming calls, take messages, and direct calls appropriately.
3. Notify relevant personnel of visitor arrivals promptly.
4. Schedule and coordinate appointments and meetings efficiently.
5. Update and maintain calendars for meeting rooms and executive schedules.
6. Foster effective communication channels within the office.
7. Collaborate with colleagues to ensure a positive working environment.
8. Assist other departments with administrative tasks as needed.
**Salary**: RM1,800.00 - RM2,500.00 per month
