**Job Overview**: We are currently seeking a highly organized and proactive Personal Secretary to join our team. The Personal Secretary will provide comprehensive administrative and secretarial support to the executive team, ensuring the smooth running of their day-to-day activities. This role requires exceptional communication skills, meticulous attention to detail, and the ability to handle confidential information with utmost discretion.
The Personal Secretary will play a crucial role in maintaining effective internal and external communication within the organization.
**Responsibilities**:
2. Maintain executives' calendars, scheduling appointments and meetings, and coordinating travel arrangements to optimize time management.
3. Prepare and distribute meeting agendas, minutes, and other related documents for executive meetings, ensuring accuracy and confidentiality.
4. Perform general secretarial duties, such as typing, word processing, formatting documents, and maintaining electronic and hard copy files.
5. Compile and analyze data, prepare reports, and presentations for executives.
6. Assist in the preparation of executive presentations, internal communications, and other business-related documents.
7. Coordinate and organize company events, conferences, and seminars, from planning to execution, including venue selection, catering, and logistics.
8. Proactively track and prioritize deadlines, follow-up actions, and commitments made by executives, ensuring timely completion.
9. Handle highly confidential and sensitive information in a professional manner, exercising discretion and maintaining strict confidentiality.
10. Liaise with internal employees, external clients, and vendors to gather information, coordinate activities, and provide updates on behalf of the executives.
11. Conduct research and analysis on specific topics, projects, or assignments as assigned by the executives.
Qualifications:
1. Bachelor's degree or diploma in business administration, secretarial studies, or a related field. 2. Proven experience as a Personal Secretary or similar role, preferably in the IT or telecommunications industry.
3. Excellent verbal and written communication skills in English and Bahasa Malaysia, with the ability to draft professional correspondence and reports.
4. Strong organizational skills, able to prioritize tasks efficiently and work well under pressure.
5. Exceptional attention to detail, ensuring accuracy in all tasks performed.
6. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as other relevant software and tools.
7. Ability to handle confidential matters with sensitivity and discretion.
8. Strong interpersonal skills, with the ability to interact with individuals at all levels of the organization.
9. Proactive and self-motivated, with the ability to work independently and as part of a team.
10. Flexibility in working hours, including occasional evening or weekend work as required.
