The duties of the Executive, Administration, Procurement & Training are, but not limited to, the following: Procurement 1. Responsible for procurement and vendor management as well as supervising and administrating office expenses inclusive of Phillip Investor Centres, 2. Responsible for stationaries and pantry items procurement and management, 3. Responsible for the procurement of staff uniform and distributing them to confirmed staff, 4. Responsible for donation collection or gift arrangement eg. in the event of death of staff’s family member or staff been hospitalised or other emergencies situation faced by staff (i.e., flood or house fire) and festivities’ hampers, 5. Develop registered vendor list and ensure relevant vendors’ reviews and registrations are done according to the procurement manual, 6. Assist in reviewing procurement policies whenever required, and 7. To undertake any other ad-hoc assignments as instructed by the Head of Administration. Administration 1. Responsible for all tenancy agreement/renewal (including Phillip Investor Centres), 2. Responsible for property and office administration and maintenance, 3. Responsible for liaising with Finance Department for payments related to staff, administrative and maintenance expenses as well as any other expenses related to the functions of the Human Capital and Administration Department, 4. Responsible for biweekly Office Directory update, 5. Responsible for the door/security access system and monitoring of employees’ attendance and reviews, 6. Ensure new employee’s First Day Kit is prepared in advance (eg. staff’s access card, stationaries, name cards, telephone & laptop/desktop arrangement), 7. Assist in meetings’ coordination, Group’s Chairperson’s calendar management and minutes taking as and when instructed by the Head of Department, and 8. To undertake any other ad-hoc assignments as instructed by the Head of Administration. Training 1. Assist identifying training and development needs within an organization through job analysis, appraisal schemes and regular consultation with business managers and human resources departments; 2. Assist in arranging employee orientation, development and training logistics; 3. Assist in arranging in producing training materials for in-house courses; 4. Having an understanding of e-learning techniques, and where relevant, being involved in the creation and/or delivery of e-learning packages; 5. To undertake any assignments as required by superior and management.
