_**URGENT**_

**Job Brief**:
The Office cum Admin Manager is to organize and coordinate Office and Operation procedures in order to ensure organizational effectiveness, efficiency and safety. He/she shall be experienced in handling a wide range of administrative and executive support related tasks and shall be able to work independently with little or no supervision. He/she must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

The Office cum Admin Manager will oversee three sections under the Admin Department which are:
1. Audit Team
2. Loss & Prevention Team (stock take)
3. Office and Operation Admin Team

**Responsibilities**:
1. Responsible for organizing all of the administrative activities that facilitate the smooth running of an office; controlling correspondence; design filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
2. Responsible for office housekeeping, maintenance, pest control, relevant supplier / contact management.
a) Upkeep of office equipment and furniture.
b) To achieve Cost Saving and Efficiency by cutting down unproductive resources.
3. Monitor and manage the operations of various functions under office administration.
4. Monitor and execute procurement of office items (including stationery) purchase to the best interest of the Organization.
5. Responsible for the entire group of companies’ office filing
a) Ensure office filing is being upkept including Accounts, Sales & Marketing, Own Biz, Project, Operation & etc.
b) Ensure all office filing is properly labeled, sort out by category for easy reference.
6. Review and enhance current group administrative systems and procedures. and/or develop new procedures where necessary to make the workplace more efficient, and to coordinate with relevant departments to ensure smooth implementation of the procedure.
7. Assist in monitoring the work of IT department in the absence of IT Manager.
8. Recording office expenditure and managing budget; analyzing variances; initiating corrective actions.
9. Partner with HR department to maintain and review office policies as necessary.
10. Reviewing and updating health and safety policies and ensuring they are observed.
11. Delegating work to staff and managing their workload and output; resolve any office co-ordination issues arise.
12. Provide administrative support to the department’s operations & new outlet / division set up.
13. Handle all licenses, permits and/or certifications, and maintain its renewal.
14. Responsible in monitoring the compliance issues affecting the company.
15. Ad-hoc assignment by the Management as and when required; for examples: assuming cashiering duties (in the event there is shortage of cashiers) & cover duty for the company's Personal Assistant in the event he/she is on leave or MC.

**Skills**:
1. The Office cum Admin Manager should possess a good computer literacy skill required in documenting procedure and creation of forms, processes and flowchart using relevant software such as Microsoft Words, Excel and Visio.
2. He/she should also possess good interpersonal skill in facilitating communication with different employees or departments across the company.

**Work arrangements**

9am to 6.30pm - Monday to Friday

**Job Types**: Full-time, Permanent

**Salary**: RM6,000.00 - RM7,500.00 per month
