Job Summary

We are seeking a highly motivated Business Operations Specialist to join our team at HUACHANG Trading Co., ltd. As a key member of our operations department, you will be responsible for managing business processes, ensuring data accuracy, and providing excellent customer support.

Key Responsibilities:
  • Data Entry: Accurately enter order list information into the company database.
  • Sales Order Processing: Process sales orders promptly upon receipt of orders from the sales team.
  • Delivery Planning: Coordinate and schedule delivery planning with the warehouse coordinator to guarantee smooth logistics.
  • Record Keeping: Maintain accurate records of sales details and delivery planning in the company database.
  • Customer Communications: Mail out customer invoices, statements, and official receipts in a timely manner.
  • Sales Reporting: Prepare comprehensive sales achievement reports on a regular basis.
  • Commission Claims: Process customer commission claims and issue salesman commissions according to company policies.
  • Debtor Monitoring: Provide debtor ageing reports to the sales team for account monitoring.
  • Quotations: Issue quotations for customers as needed, showcasing the company's competitive offerings.
  • Meeting Documentation: Document meeting minutes and maintain a record for future reference.
  • Maintenance of Sales Materials: Ensure adequate supplies of sales presentation materials, including slides, brochures, samples, and forms.
  • Promotion Strategies: Develop promotional strategies to enhance brand awareness.
  • Customer Support: Respond to client inquiries regarding their accounts or sales products, delivering exceptional customer service.
  • Ad-Hoc Tasks: Execute any ad-hoc tasks assigned by management, supervisors, or heads of department as required.
Minimum Requirements
  • Experience: At least one year of experience is preferred for this role.
  • Organizational Skills: Possess strong organizational skills to manage multiple tasks effectively.
  • Interpersonal Skills: Exhibit excellent interpersonal skills to interact successfully with colleagues and clients.
