**Human Resources (HR) Duties**:
1. **Recruitment and Staffing**:

- Develop job descriptions for various roles within the company.
- Ensure onboarding procedures for new hires are smooth and efficient.

2. **Employee Relations**:

- Address employee concerns and grievances promptly and professionally.
- Foster a positive work environment by implementing employee engagement activities.
- Conduct regular performance reviews and handle promotions or disciplinary actions.

3. **Payroll & Benefits Management**:

- Oversee payroll processing and ensure timely salary disbursement.
- Manage employee benefits, including insurance, medical coverage, and leave entitlements.
- Track and ensure accurate documentation of employee attendance and leave records.

4. **Compliance and Labor Laws**:

- Ensure compliance with local labor laws and employment regulations.
- Keep up-to-date with changes in employment legislation and update company policies accordingly.
- Maintain and manage employee records and contracts.

5. **Training & Development**:

- Identify training needs and opportunities for employee development.
- Organize workshops, seminars, and training programs to enhance employee skills.

6. **Performance Management**:

- Implement performance appraisal systems.
- Set clear KPIs and performance benchmarks for different teams, especially sales and technical teams.

**Administrative Duties**:
1. **Office Management**:

- Oversee the daily administrative operations, including maintaining office supplies and ensuring a well-organized work environment.
- Manage relationships with vendors, service providers, and office facilities maintenance.

2. **Policy Implementation**:

- Develop and enforce company policies, guidelines, and procedures for efficient office operations.
- Review and update administrative systems to enhance workflow.

3. **Asset and Inventory Management**:

- Oversee the management of vending machine inventory and spare parts.
- Coordinate with the logistics team to manage the deployment of vending machines.

4. **Travel & Logistics Coordination**:

- Organize travel and accommodation for field staff and technicians visiting vending machine sites.
- Support the logistics team in managing technician schedules and deployment routes.

5. **Compliance & Reporting**:

- Prepare and manage administrative reports, including office expenses, staff attendance, and performance.
- Ensure the company is compliant with health and safety standards in all operational locations.

**HR & Admin Manager KPIs**

**1. Recruitment & Onboarding Effectiveness**
- **New Hire Retention Rate**: Percentage of new hires who stay with the company for more than 6 months.
- **Onboarding Satisfaction Rate**: Feedback from new hires regarding their onboarding experience (collected through surveys or exit interviews).
- **Vacancy Fill Rate**: Percentage of positions filled within the desired timeframe.

**2. Employee Engagement & Retention**
- **Employee Turnover Rate**: Percentage of employees who leave the company during a given period.
- **Employee Satisfaction Score**: Average score from employee engagement or satisfaction surveys.
- **Average Tenure of Employees**: The average length of employment for staff members.
- **Absenteeism Rate**: Percentage of workdays lost due to employee absenteeism.

**3. Performance Management**
- **Performance Review Completion Rate**: Percentage of employees who receive formal performance appraisals within the scheduled timeline.
- **Training & Development Participation**: Percentage of employees who complete required training programs.
- **Improvement in Employee Performance**: Percentage of employees whose performance improves after attending development programs or performance management initiatives.

**4. Payroll & Compliance**
- **Payroll Accuracy Rate**: Percentage of error-free payroll disbursements.
- **Payroll Processing Time**: Time taken to process payroll from data collection to disbursement.
- **Compliance Rate with Labor Laws**: Percentage of HR policies and practices that meet legal and regulatory requirements, including timely submission of statutory reports.

**5. Administrative Efficiency**
- **Administrative Task Completion Rate**: Percentage of administrative tasks (office management, vendor management, etc.) completed within the target timeframe.
- **Office Supply Costs**: Percentage of reduction in administrative overheads and office supply costs.
- **Vendor Management Efficiency**: Number of service disruptions or issues with third-party vendors and service providers.

**6. Asset & Inventory Management**
- **Vending Machine Inventory Accuracy**: Percentage accuracy of vending machine and spare parts inventory management.
- **Vending Machine Deployment Time**: Average time taken to deploy new machines once acquired.
- **Maintenance Response Time**: Average time taken to address and resolve maintenance issues related to vending machines.
