Coordinate meetings, prepare agendas, and take minutes during internal meetings.
- Ensure proper filing, organization, and maintenance of all relevant documents (both digital and physical).
- Handle various internal forms such as leave logbook, IT logbook, exit gate passes, claims, stationery requisitions and etc.
- Monitor and maintain office supplies inventory (stationery, pantry, toner, etc.) and reorder when necessary.
- Ensure office equipment is functioning properly, coordinate with service vendors for maintenance.
- Organize and file employee records, HR documents, and administrative files in accordance with company policy.
- Prepare HR documents (e.g., subcontractor contracts, hostel policy & etc) as needed.
- Stay updated on labor law changes and assist with implementation of new compliance measures.
- Assist with the coordination of office events, team-building activities, and employee engagement programs.
- Assist with the completion and submission of required immigration documentation (MYEG, JTK, etc.)
- Coordinate with external service providers for the repair and maintenance of office equipment.
- Update and monitor the company’s waste disposal system in compliance with Jabatan Alam Sekitar (Alam Aliran) regulations.
- Ensure proper management of workers’ hostels, ensuring good living conditions and addressing related matters.
- Track and monitor the expiration dates of staff CIDB cards and initiate renewal processes.
- Assist in local staff recruitment processes, including coordinating and scheduling interviews.
- Assist with ad-hoc HR projects or administrative duties as assigned by the HR Manager.

**Requirements:

- **
- At least 2 Year(s) of working experience in the related field is required for this position.
- Able to work under pressure with minimum supervision.
- Good interpersonal, communication skills and people skills.
