**Job Summary**
This role supports the HR department in maintaining a stable and harmonious workplace by managing employee and industrial relations matters in compliance with **Malaysian labour laws**, while aligning with **Japanese corporate culture and standards**. Responsibilities include facilitating internal communication, managing discipline and compliance, and enhancing employee engagement at the manufacturing site.
**Job Responsibilities1. Employee Relations (ER)**
- Serve as the primary contact for **employee concerns and workplace conflicts** at the factory.
- Conduct regular **engagement sessions** with employees and supervisors to identify issues and boost morale.
- Monitor **absenteeism, punctuality, and employee behaviour**, recommending and implementing preventive measures.
- Facilitate **onboarding sessions** covering company rules, code of conduct, grievance procedures, and disciplinary policies.
- Conduct **exit interviews** for operators and production staff, preparing reports on attrition trends with actionable recommendations.
**2. Industrial Relations (IR)**
- Manage all **disciplinary actions**, including issuing show-cause letters, conducting counselling sessions, investigations, and domestic inquiries, ensuring compliance with Malaysian labour laws and company policies.
- Ensure disciplinary actions are conducted **fairly, promptly, and in accordance with legal requirements**.
- Support management in coordinating **Management-Staff Meetings**, grievance handling, and effective communication to maintain harmonious relations.
- Represent the company during **labour office visits or industrial court proceedings** when necessary.
**3. Compliance & Process Control**
- Ensure compliance with the **Malaysian Employment Act, Industrial Relations Act**, and other relevant laws and regulations.
- Assist in preparing documentation for and participating in **internal and external audits**, including Japanese HQ audits, customer compliance audits, and labour inspections.
- Regularly review and update **company rules, HR policies, and disciplinary procedures** to align with local legislation and Japanese group standards.
- Assist in reviewing and updating the **employee handbook, workplace rules, and ER/IR SOPs** for manufacturing staff.
**4. Cross-Cultural Communication**
- Facilitate effective communication between **Japanese expatriate management and local employees** by enhancing understanding of local labour practices, cultural expectations, and HR protocols.
**5. Other Duties**
- Perform any other tasks assigned by the superior as required.
**Job Requirements**
- **Bachelor’s degree** in Human Resources, Business Administration, Industrial Relations, Law, or related fields.
- **2-4 years of experience** in employee and industrial relations, preferably in a manufacturing environment. Experience working with **Japanese companies or expatriates is an added advantage**.
- Strong knowledge of **Malaysian labour laws, IR practices**, and labour department procedures.
- Familiarity with **factory-based HR operations** and managing blue-collar workforces.
- Excellent **interpersonal, communication, and conflict resolution skills**.
Pay: RM3,500.00 - RM5,000.00 per month
