Principal Responsibilities

·       To ensure operational directions are based on the most stringent global standards and to support in overseeing the smooth running of activities on a commercial or residential property.

·       To build, maintain and enhance customer relations and meet organizational and operational objectives.

·       To assist in design and implementation of management strategies necessary for meeting the needs and requirements of the property.

·       To maintain a thorough knowledge of property and housing laws and employ this knowledge in performing job duties.

·       To support superior in overseeing day-to-day operational matters.

·       To assist in vetting of floors plans, electrical and fittings so as to conform to building requirements.

·       To ensure all tenant or owner's purchaser in the property is satisfied with the facilities and services provided.

·       To promptly attend to any emergencies and report to superior.

·       To identify consistent or recurring problems and report to management.

·       To monitor closely on the payment by issuing reminders to tenants, follow-up emails & phone calls from time to time to avoid late payment.

·       To ensure all income or other revenue received should be recorded and forwarded to Finance Department.

Facilities Monitoring and Control Management

·       To oversee and maintain the regular maintenance and repair of facilities to ensure utility needs are met.

·       To coordinate various financial obligations, such as payment of bills, budget preparation, compiling of expenditures and analysis of financial records.

·       To manage and monitor the outsourced services of the contractors.

·       To establish contract with security outfit to monitor property activities and implement precautionary measures.

·       To attend to the feedbacks from the residents and ensure timely solutions are deployed.

·       To ensure that the building is adequately covered by insurance for fire, incidental losses, public liability and theft.

·       To liaise with outsourced contractor to find solutions and resolve daily operational matters.

Others

·       To be able to work outside the standard working hours is an expected part of the job, as necessary, especially when dealing with incidents, crisis and other such operational issues and to report on such issues on a timely basis to the superior.

·       To establish external vendors relationships and services in order to fulfil the requirement for the company.

·       To implement all policies, activities, procedures, instructions as relevant and required by the quality management system.

·       To meet customers and applicable statutory and regulatory requirements.

·       To implement plan actions from risks and opportunities assessment.

·       To undertake any and all other duties and responsibilities as so instructed by the superior.

·       Degree / Diploma / Certificate in Property Management / Building Management / Business Administration / Technical or related discipline.

REQUIREMENTS (Qualification/Experience/Skills)

·       Minimum 1 – 3 years working experience in property management and/or facilities management services in property development industry.

·       Has strong experience in office building and residential components management.

·       Knowledge of Strata Titles Act / Building and Common Property Act.

·       Familiar with ISO 9001:2015 standard and preparation, implementation and maintenance of the quality management system will be an added advantage.

·       Good customer service and interpersonal skills to meet with prospective and current tenants.

·       Management skills in handling office staff, contactors and service providers.

·       Adaptable and flexible to meet organizational requirements.
