Assistant Company Secretary

The Assistant Company Secretary supports the Corporate Secretarial Department in ensuring all statutory and regulatory compliance requirements are met under the Companies Act 2016 and Labuan Companies Act 1990. This role involves assisting in company incorporation, maintaining statutory records, preparing documentation for corporate changes, and supporting senior company secretaries in governance and client servicing activities.
Responsibilities
1. Statutory & Compliance Support
- Assist in ensuring compliance with the Companies Act 2016 and Labuan Companies Act 1990.
- Prepare and help maintain and update statutory registers and company records.
- Monitor filing deadlines and assist in ensuring timely submission of all statutory documents.
2. Company Incorporation & Administration
- Assist in the incorporation of Malaysian and Labuan companies.
- Support in preparing documentation for changes in directors, shareholders, share capital, and registered office.
3. Corporate Governance
- Assist in arranging Board Meetings and Shareholders' Meetings.
- Prepare and circulate meeting notices, agendas, and draft minutes.
- Ensure documents are properly executed, filed, and stored for record purposes.
4. Client Servicing & Advisory Assistance
- Communicate with clients to collect documents and information for company filings.
- Support company secretaries in advising clients on company secretarial and compliance matters.
5. Documentation & Filing
- Maintain well-organized electronic and physical filing systems.
- Ensure that all statutory and corporate records are up to date and complete.
- Handle MyCOID, MBRS, and Labuan FSA online submissions under supervision.
Qualifications & Requirements
- Minimum Diploma or Degree in Business Administration, Law, Secretary, Accounting, Personal Assitant, Engineering, Corporate Administration, or equivalent.
- At least 1–3 years of working experience in company secretarial or related field.
- Familiarity with the Companies Act 2016 and Labuan Companies Act 1990 is encouraged to apply. Training is provided.
- Proficient in MyCOID, MBRS, and Microsoft Office applications.
- Strong command of both English and Mandarin (spoken and written) is compulsory.
- Good organizational skills, attention to detail, and ability to work independently under supervision.
Job Type: Full-time
Pay: RM3, RM5,500.00 per month
