Equine SMG Sdn Bhd – Gelang Patah, Johor

We're looking for a dynamic Office Admin (Multiple Position: Admin, HR & Accounts) who brings:

General Administrative Management

  • Finance Processing: Support critical accounting functions by accurately verifying and processing payment vouchers, invoices, payables, receivables, and miscellaneous transactions.
  • Accounts Monitoring: Proactively manage accounts receivable, diligently tracking customer payments and engaging in professional follow-up for all outstanding invoices.
  • Expense & Payroll Execution: Oversee the accurate verification and timely processing of office expense claims, staff reimbursements, and prompt payment to vendors.
  • Compliance & Licensing: Ensure seamless legal compliance by managing the application, tracking, and timely renewal of all necessary business licences (including WRT) and company vehicle documentation (insurance, road tax, and permits).
  • Reporting & Reconciliation: Contribute to the month-end process by assisting with bank statement reconciliation and generating timely, accurate weekly and monthly sales reports for management.
  • Office Operations: Maintain optimal inventory levels of office/pantry supplies, stationery supplies, and vendor coordination. Ensuring the smooth execution of daily administrative tasks like filing, data entry, and correspondence.

Logistics and Operational Support

  • Logistics Coordination: Provide crucial support to the Logistics Supervisor by assisting with the arrangement of lorry maintenance and regulatory vehicle checks at Puspakom.
  • Shipment Monitoring: Support logistics operations by closely monitoring inward shipments and liaise with freight forwarders to ensure smooth shipment and documentation flow.
  • External Liaison: Serve as the primary point of contact and key liaison with various external parties and government agencies (e.g., Puspakom, TNB, Ranhill SAJ, MBIP, KWSP, PERKESO, DVS), ensuring all documentation and operational compliance requirements are met accurately.

Human Resources Support

  • Payroll Execution: Execute the full cycle of monthly payroll processing, ensuring the accurate calculation of all salaries, allowances, and statutory deductions (KWSP, PERKESO, etc.).
  • Recruitment Assistance: Play an active and hands-on role in the recruitment process (posting job ads, arranging interviews, calling candidates).
  • Records Management: Accurately maintain all staff records, including attendance, overtime/allowance tracking, and leave management.
  • Staff Services: Efficiently handle staff travel logistics, including the booking of flights, transport, and hotel accommodations.
  • Special Projects: Embrace ad-hoc special assignments and provide crucial administrative support directly to the Managing Director and Director as required.

What We're Looking For:

  • Diploma or Degree in Business Administration, Human Resource Management, or related field.
  • Minimum 1–2 years of experience in administration or HR functions.
  • Proficient in Microsoft Office applications and familiar with basic accounting processes.
  • Strong organizational skills, attention to detail, and ability to multitask effectively.
  • Good communication and interpersonal skills.
  • Able to work independently with minimal supervision.
  • Prefers ready-to-work applicants.
