Join Our Team as an Office Admin Assistant
Equine SMG Sdn Bhd – Gelang Patah, Johor
We are looking for a dedicated and detail-oriented individual to manage human resources functions and administrative operations in our equine feed supply industry office.
The ideal candidate will play a key role in handling HR functions, office coordination, and communication with internal teams, external partners, and government agencies.
Key Responsibilities:
- Handle employee attendance, leave tracking, and expense claims.
- Monthly payroll processing, ensuring the accurate calculation of all salaries, allowances, and statutory deductions (KWSP, PERKESO, etc.).
- Support recruitment activities (posting job ads, arranging interviews, calling candidates) and maintain employee files and offer letters.
- Coordinate and arrange air ticket and hotel bookings for business travel.
- Assist in the processing of payment vouchers, invoices, delivery orders (DO), payables, receivables, and miscellaneous transactions.
- Manage office operations, including the procurement of supplies and coordination of maintenance or service vendors.
- Handle the application, tracking, and timely renewal of all necessary licences (Business, WRT and DVS) and company vehicle documentation (insurance, road tax, permits, vehicle checks at Puspakom)
- Support logistics operations by closely monitoring inward shipments and liaising with freight forwarders to ensure smooth shipment and documentation flow.
- Communicate professionally with government departments and external agencies when necessary.
- Organizing and maintaining both digital and physical filing systems for all relevant records (invoices, contracts, payment receipts, etc.).
- Undertake any other ad-hoc tasks assigned by immediate superiors or management.
- Provide crucial administrative support directly to the Managing Director and Director as required
What We're Looking For:
- Diploma or Degree in Business Administration, Human Resource Management, or related field.
- Minimum 1–2 years of experience in administration or HR functions.
- Proficient in Microsoft Office applications and familiar with basic accounting processes.
- Strong organizational skills, attention to detail, and ability to multitask effectively.
- Excellent communication, coordination, and time management skills.
- Able to work independently with minimal supervision.
- Prefers ready-to-work applicants.
