Personal Assistant to MD

Key Responsibilities
- Handle confidential and sensitive matters with discretion, sound judgment, and professionalism, especially those related to operational decisions and the company's reputation;
- Manage and coordinate calendars, meetings, travel arrangements, visitation schedules, and logistical requirements;
- Prepare, track, and manage expense reports and documentation as required;
- Maintain consistent and timely communication, including responsiveness to emails, calls, and messages outside standard office hours when necessary;
- Represent the Executive and the organization in a professional manner when liaising with business partners, government bodies, clients, and industry associations;
- Conduct research, compile reports, and analyze internal and external information to support operational and strategic decision-making;
- Assist in operational matters requiring coordination across departments and follow-through on key action items;
- Deliver or support staff development training in assigned areas such as Front Desk Operations, Customer Service, Communication Etiquette, Grooming and Professional Presentation, and Managing Customer Expectations;
- Support company events, projects, and corporate initiatives when required.
Job Requirements
- Proven experience in a Personal Assistant, Executive Assistant, or similar high-level administrative role;
- Strong organizational and time management skills with the ability to work in a fast-paced and dynamic environment;
- Excellent written and verbal communication skills;
- High level of initiative, accountability, and follow-through;
- Proficiency in Microsoft Office Suite or equivalent productivity tools;
- Ability to handle multitasking and prioritize tasks efficiently;
- Proficiency in Mandarin (spoken and written) is preferred, due to frequent cross-department and cross-regional communication;
- Good personal character, strong stress tolerance, and a service-oriented mindset—essential for handling confidential matters, cross-team coordination, and ad-hoc assignments;
- Must be able to speak and write fluently in English (additional languages are an advantage).
