JOB SUMMARY

The Personal Assistant (PA) to the CEO provides high-level administrative, organizational, and operational support to ensure the CEO's office runs efficiently. This role requires exceptional discretion, professionalism, and the ability to handle sensitive matters with confidentiality.

Key Responsibilities

Executive Support

  • Manage and maintain the CEO's calendar, schedule meetings, and coordinate appointments.
  • Ensure the CEO is briefed and well-prepared for all meetings and events.

Office & Communication Management

  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen phone calls, emails, and requests, prioritizing matters requiring the CEO's attention.
  • Maintain accurate records, files, and documentation.

Meeting & Event Coordination

  • Organize and coordinate executive meetings, including agenda preparation, minutes, and follow-up actions.
  • Assist in planning company events, board meetings, and other key engagements.

Confidential & Administrative Duties

  • Handle sensitive and confidential information with absolute integrity.
  • Support personal errands and tasks for the CEO as required.
  • Manage expenses, claims, and financial documentation related to the CEO's office.
Qualifications & Experience
  • Diploma/Degree in Business Administration, Management, or related field.
  • Minimum 3–5 years' experience as a Personal Assistant, Executive Assistant, or similar role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital tools.
  • Ability to work independently, prioritize tasks, and manage time effectively.
  • High level of discretion, professionalism, and confidentiality.
  • Prefer Mandarin speaker for business nature.
